 Background

As a result of a period of maternity leave, the Governing Body of St Mark’s, Bath, wishes to appoint an Administration Assistant Pastoral to work in the school’s Pastoral Office. This post involves completing administration work for the Pastoral side of the school and working with the students in a pastoral capacity, mainly within the Pastoral office.

The job description for the post is currently being re-evaluated by EPM (HR and Payroll provider) but based on the current job description would broadly involve the following responsibilities:

1 To generally assist the Student Support Officer(s), Assistant Headteacher and Head of Key Stages in the administration of behaviour, attendance and pastoral support through the provision of an efficient administrative/clerical service.

2 To perform Phase 1 Daily Attendance Duties to include the following: check all lesson registers (am, pm and other periods) have been completed; to take student absence messages from the school voice-mail and e-mail; to send out daily text to the parents of absent students in a timely manner; to pass a list of absentees to all members of the pastoral team in a timely manner and to telephone the parents/carers of selected absent students, as per agreed protocols.

3 To provide a confidential typing/ word processing service for the pastoral/SEND element of the school.

4 To provide a courteous and welcoming Student Reception service for students, parents/carers and school staff and to contact students’ home, when required, making appointments for pastoral/SEND staff.

5 To provide administrative support for PARS and other pastoral data bases, including for anti-bullying etc..

6 To assist in the completion of referral forms for Social Care and other agencies.

7 To maintain the Child Protection files, under strict controls and protocols.

8 To undertake a range of clerical and pastoral office duties including filing, duplicating, photocopying, maintenance of both paper and electronic filing and record systems and other clerical support to assist in the efficient operation of the school.

The ideal candidate

The Governing Body is looking for a colleague who will:

· Previous experience of student administration responsibilities.

  • Excellent written      and oral communication.

· Excellent interpersonal skills and be able to relate well to school staff, candidates of all abilities, parents and carers.

· Be able to maintain confidentiality.
