St Joseph's Catholic School, Mundingburra is seeking applications for the position of Administration/First Aid Officer.
This position is a Term Time position working 30.4 hours per week across 4 days on a contract basis commencing from Monday, 24th August 2020 until Friday, 4th December 2020. 

About the role

The Administration/First Aid Officer works in collaboration with the Principal to provide high level administrative support to the School Leadership Team, demonstrating a degree of self-initiative, flexibility and dependability.

This position is the initial point of contact for all visitors, parents, staff and students to the school. The incumbent will present a professional image and create a welcoming, warm and positive impression.

The successful candidate will require current first aid qualifications and a commitment to the health and safety of the school.

Key Accountabilities

The Administration/First Aid Officer will represent St Joseph’s Catholic School reception as the first point of contact in a professional, warm, friendly and efficient manner. Duties include:

Provide reception duties that meet the day to day requirements of the school including:

  • Assist in the production of internal and external documents
  • Coordinate, prepare and file documents as required, ensuring a commitment to compliance and confidentiality.

Support the delivery of operational tasks associated with a high functioning reception including:

  • Respond to incoming telephone/email enquires/communications
  • Deal professionally with and directing enquiries of parents, visitors and contractors as necessary
  • Data entry to support registers and record management ensuring accuracy and attention to detail.

Provide coordination to students and staff with first aid and sick bay:

  • Liaison with parents and staff for sick or injured students
  • Maintain and update student medical alert information, ensuring confidentiality
  • Administer medication to students as per requirements in conjunction with protocol and process
  • Distribution and maintenance of first aid kits
  • Maintain student medical records and accident reporting.

Provide Secretarial support to Leadership Team:

  • Manage diary/commitments
  • Assist with the preparation of meetings, functions and associated tasks
  • Monitor staff access/telephone calls/correspondence, as required
  • Coordinate, prepare and file documents as required, ensuring a commitment to compliance and confidentiality
  • Develop (as required) and adhere to administrative processes to enable efficiencies.

Any other duties as reasonably requested to support the functionality of the school.

About You

Experience

  • Previous experience providing generalist administrative support to a high level
  • Demonstrated capacity to organise and prioritise a range of tasks and set priorities to meet deadlines in a busy office environment
  • Demonstrated ability to work independently and as part of a team
  • Proven ability in providing accurate and informative assistance to staff, students and parents in a school or similar environment confidently.

Skills

  • Ability to adapt to changing circumstances and embrace new ideas with enthusiasm
  • Highly developed computer literacy skills with the ability to operate a variety of platforms including Google and Microsoft Office
  • Organisational planning and coordination skills including the ability to demonstrate flexibility and manage demanding or competing tasks.

Mandatory Criteria

  • Current Working with Children Suitability Card or eligibility to obtain same *
  • Industry qualification at certificate level or equivalent knowledge and experience relevant to the position
  • Current First Aid Certificate
  • Ability to travel from time to time within the Catholic Diocese of Townsville
  • Ability to perform the physical requirements of the role in a safe manner.

* The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
