Job overview

We are seeking a new Business manager.  We are excited to be offering this opportunity preferably for somebody with experience of educational institutions to utilise their skills in the management of our Academy. They will play a significant role in the planning, monitoring and efficiency of all aspects of the Academy.

● Ensuring the Academy complies to all TKAT and school policies, including meeting all financial regulations

● Providing a balanced budget together with the Headteacher and the Governors 

● Strategic planning and operational management of your responsibilities

● To assist the Headteacher and the Leadership Team in the overall financial management and development of the school

Headteacher, wider Senior Leadership Team (SLT) and support staff as well as Trust HQ corporate teams, Director of Education, other TKAT Business Managers.

FINANCE

● To be responsible for the integrity of day-to-day financial management in the Academy and for operational responsibilities relating to finance

● To ensure financial viability of the Academy both in the short and long terms. 

● To provide a balanced 1 year and 3-year budget for the school which comply with the guidelines from TKAT

● To develop and manage audit procedures as necessary and cooperate with internal and external audits of the Academy’s financial systems and accounts. 

● To ensure that accurate financial records are maintained and to report on a regular basis to the Governors, Headteacher and TKAT.

● To ensure that financial transactions in the Academy are carried out in accordance with the TKAT Financial Regulations

● To maintain proper Payroll records including records of salaries paid and deductions in respect of Income Tax, National Insurance and Pension payments

● To record, manage and oversee all matters relating to Pensions, including annual returns.

● Prepare monthly accounts, encompassing a forecast outturn and cash flow forecast by use of the Trust’s designated software and proscribed templates

● To negotiate, manage and monitor contracts, tenders and agreements for the provision of support services.

● Advise the Headteacher in the strategic vision for marketing the Academy and ensure appropriate support is in place to deliver this.

● Remain up to date with the ESFA’s Academies Financial Handbook and other external statutory regulations, as well as the Trust’s internal financial policies and handbooks. 

PREMISES 

● Lead on the strategic development of the Academy’s facilities and premises. 

● Ensure the Site Management Team have the resources, qualifications and experience to carry out their duties and that their hours of working are appropriately defined

● To ensure all site staff have current job descriptions and are subject to annual performance management reviews.

● That the site premises are managed, maintained, refurbished and continually improved.

● That adequate arrangements are made for the security of the school’s premises

● A safe, clean and comfortable environment for staff and students having due regard to the school’s Health & Safety policy

● To oversee the placement of service contracts for the maintenance of the premises as appropriate and to monitor performance standards and value for money.

ADMINISTRATION & IT

● To maintain oversight of the main administrative function of the Academy, including the efficient deployment of administrative staff.

● To ensure the accuracy of statistical returns, including both pupil and staff workforce census returns.

● Act alongside the Academy’s appointed GDPR champion to ensure that data protection regulations are upheld.

● To support the strategic development of ICT within the Academy.

● Manage the relationship with the Trust’s ICT Management/Support team.

● Ensure an appropriate communication strategy and relevant Trust wide policies, including Data Protection are applied for use of technology across the Academy.

CATERING

● To monitor review and oversee the catering contract to ensure value for money and that all food and health and safety standards are met for the Academy.

HEALTH & SAFETY

● Ensure systems are in place for the implementation of effective planning, organisation, control, monitoring and review of the preventive and protective measures that are required to be in place to ensure health and safety compliance and the escalation and/or reporting of health and safety issues to the Headteacher, Trust, Governors and, where appropriate, the Health & Safety Executive.

● Be responsible for implementing recommendations from Health & Safety audits 

● Communicate policies as required to the Leadership Team and Governors.

● Oversee the day to day workings of the Academy to ensure that statutory Health and Safety obligations are being met.

● Ensure that all duties and services provided are in accordance with the Academy’s Equal Opportunities Policy

● Be aware of and comply with policies and procedures relating to Child Protection and all aspects of Safeguarding.

● All decisions made within the parameters of the job description

● Employees will be expected to comply with any reasonable request from the Headteacher to undertake work of a similar level that is not specified in this job description.

● The standards of the post holder will be measured through the Havant Academy Appraisal system by setting targets linked to this job description.  The job description will be reviewed annually at the appraisal meeting.

● Work in accordance with the guidelines set out in within all The Kemnal Academies Trust (TKAT) Policies 

● TKAT is committed to safeguarding and promoting the welfare and safety of all students and expects all staff and volunteers to share this commitment. To promote a safe environment for students, TKAT employs a strict selection and recruitment policy which includes all statutory checks on staff and regular volunteers including Enhanced DBS (disclosure and barring service) checks.  Part of this role is to follow these procedures and to ensure that students are kept in a safe, learning environment whilst at Academy name.

● All staff must comply with the General Data Protection Regulation and in so doing ensure that all personal data is kept safe. Any data breaches must be reported to the TKAT Data Protection Officer immediately.
