We are looking for a flexible and reliable administrator to join our team, here at Mount St Mary’s College and Barlborough Hall School.
The FM Administrator supports the facilities team in all office procedures and administration, along with health and safety compliance support. They also assist with facilities orders and greet contractors visiting the site; ensuring checks are in place to be on school grounds.
The Role
Main duties and responsibilities are below but not limited to:
• Handling external and internal communication.
• Setting up and maintaining an accurate file structure.
• Organizing, arranging and coordinating meetings and events, to include ensuring that all relevant documentation is available.
• To manage, update and maintain diary schedules and preparation of works, ensuring that conflicting and amended appointments are actioned appropriately.
• Register for any contractors visiting the school sites.
• Handling management systems.
• Update budget spreadsheets for the team as required.
• Collect and maintain accurate team information concerning training and any other database.
• Meet and greet contractors visiting site and ensure they are shown where they need to be.
• Be involved in any outsourced tendering in relation to KCSiE and maintain contractors on the Single Central register.
• Maintain and issue courses to employees on the Health and Safety training system.
• Liaise with HR with regards to health and safety compliance, if there are any concerns or employee records to be updated.
• Intercept and take appropriate action from messages received and ensure that all information is transmitted to relevant parties.
• General administrative support for the facilities and wider school administration team.
• Provide adhoc administrative support for the whole school if required but specifically attending and taking minutes at the H&S meeting at both sites and maintaining the H&S records
You
You will have good communication skills and be an experienced administrator, helping out where needed, along with managing your own workload to a high standard and in a timely fashion. You will have the ability to work well with others and share workloads during busy periods throughout the school day.
You will be reliable and diligent and with lots of enthusiasm.
