Facilities Manager

Wetherby Senior School, a member of the Alpha Plus Group of Schools, was founded in 2015. There are currently around 270 boys between the ages of 11 and 17 on roll, spanning Year 7 to Year 12. The School’s size and reputation is growing rapidly and this year our new building, Hannah House, opened only a short walk from the original building in Marylebone Village. We have also this year opened our new Sixth Form Centre with purpose-built facilities for the boys.

JOB PURPOSE

The post holder will be responsible to the Director of Property for the upkeep of the two buildings that are Wetherby Senior School. The role will involve the co-ordination of site facilities, management of staff, security of all buildings, maintenance, cleaning, portering and postal services.

RESPONSIBILITIES


Buildings

  • To manage maintenance staff to ensure weekly buildings checks are carried out and work is carried out in a timely manner, to include general maintenance, plumbing and decorations.
  • To have responsibility for the implementation of security and health and safety of the premises including property and personal security, including operation of CCTV.
  • To develop and review all procedures and practices relating to the security of the premises and equipment including maintaining an up-to-date inventory of keys.
  • Operation and upkeep of School systems to include asbestos, water management, control of utilities, fire protection, contractors, and the associated administration and record keeping, and other related systems as required.
  • Managing the security of sites and buildings, including attendance at alarm activations during or outside normal working hours.
  • To support oversight of any capital works ensuring health and safety and value for money whilst limiting the impact on the running of the School.
  • Carry out the installation, maintenance, testing and fault finding on a wide range of electrical and mechanical plant.
  • Ensure the printing and photocopying facilities are maintained with the provision of paper, toner and other consumables.
  • Manage the Cleaning contractors to ensure the school premises are kept clean and tidy at all times.
  • Planning and controlling a rolling programme of maintenance, redecoration and periodic deep cleaning.


Health and safety

  • Ensure the safety of staff, students and visitors to the school.
  • Managing risk assessments to ensure that all site related decisions are taken in full knowledge of the risks.
  • To ensure all staff (including outside contractors), buildings and services comply with health & safety legislation and to undertake risk assessments.
  • Developing, maintaining and implementing policies, procedures and practices concerning Fire, Health and Safety across the whole School and ensuring statutory compliance.
  • To be responsible for Health and Safety training for all staff.
  • To attend termly Health & Safety Committee meetings at School


Fire

  • To be the Headmaster’s delegated person responsible for Fire Safety in the buildings and maintaining and testing the fire alarms on a regular basis and ensuring an accurate written register of testing is maintained.
  • To work with the Deputy Head to arrange, monitor and conduct regular evacuation drills in term time
  • To act as Fire Marshal with a team of appointed and trained Fire Wardens
  • To arrange for training to be given to staff where necessary
  • To facilitate access for the Fire Safety Consultant to conduct annual Fire Risk Assessments and to ensure that any recommendations for actions are put into effect in a timely way.


Staff

  • Managing the selection, supervision, quality of work and ensuring a safe system of work for all staff and external contractors working at the School that meets safeguarding requirements.
  • To manage the site team to provide a positive student and staff impression and contribute positively to meeting the school’s needs.
  • Encouraging multi-skilling and cross covering of roles between staff.
  • Carrying out site staff appraisals.
  • Setting up simple systems for recording, assigning and monitoring site tasks.
  • Creating, implementing and monitoring a simple feedback procedure to measure the performance of the services, proactively measuring the satisfaction of customers quantitatively and qualitatively on a regular basis.
  • To monitor all staff first aid status and arrange training as appropriate.


General responsibilities

  • To ensure that the Headmaster and staff are aware of major changes to relevant regulations and procedures.
  • To proactively identify areas for improvement in all current systems.
  • To attend and contribute to staff meetings and ongoing professional development.


Pupil safe transit

The Senior Premises Manager will work with their Assistant and the Deputy Head to ensure that there is adequate supervision of safe crossing points for pupils moving between the buildings at specified times

SKILLS REQUIRED

  • The capacity to keep accurate written records and maintain documentation
  • Proven skills in maintenance, decorating and engineering
  • Able to manage a small team and to work as part of a team
  • Health and Safety qualification
  • Ability to demonstrate an understanding and knowledge of safeguarding and promoting the welfare of children and vulnerable adults

EXPERIENCE REQUIRED

  • Evidence of previous experience in successfully managing a team in an area of work relevant to this post
  • Experience of working in a school or other educational based background
  • Supervisory experience
  • Willingness to become a registered First Aider

Wetherby Senior School is a thriving independent day school for boys aged 11-18 situated in the heart of London. Since opening in 2015 the School has grown and in September 2018 we welcomed our first cohort of Sixth Form pupils following very successful GCSE results. The School combines a rigorous academic education with an emphasis on developing the whole boy by giving him a broad educational experience and strong pastoral care.
