Job Description: Inclusion Administrator

Reporting to: Assistant Principal - Inclusion 

Start date: ASAP 

Contract: Permanent - Term Time Only 

Salary: Grade 3 (£20,237-£21,190) 

Hours: 41wks per year – 40 hrs per week (8am until 5pm)

The Role 

As an Inclusion Administrator, you will provide comprehensive administrative support to the school and the Inclusion department and act as a central supporting role for staff, students and parents. You will work with other members of the Academy to uphold the vision and ethos of the school at all times and provide an excellent customer service to a range of stakeholders. 

Key Responsibilities

• Establish and maintain efficient administrative systems and processes to support the effective running of the school and the department 

• Provide general clerical and administrative support for the school e.g. photocopying, filing, emailing, completion of standard forms, respond to routine correspondence, letters to parents, etc 

• Maintain manual and computerised records and management information systems, producing accurate lists or data as required by colleagues or compliance bodies 

• Ensuring the SEN registers are updated during interventions

• To be able to assist Primary Assistant Principal - Inclusion once a week

• Managing Assistant Principal - Inclusion and SENCO`s diary and appointments 

• Ensuring that all SEN students has a student info sheets on file for those inclusion staff members that are responsible for, updating and regularly checking all student referrals

• Liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy 

• Ensuring that administration of spreadsheets with all EAA, any form of notes and evidence to be filed in relevant file, child protection and safe guarding forms are completed, exam arrangements for Key Stage 3 Inclusion students are completed during the exam periods 

• Assist with student welfare and liaise with parents where necessary 

• To create documents from start to finish, ensuring finished documents are to an excellent standard. 

• Ensure all SALT reports are filed and sent to students via post

• To provide refreshments for meetings when required 

• To support with administration associated with Parents’ evenings, SPA days, open evenings and other key academy events 

• To ensure that all queries are dealt with efficiently and effectively 

• Maintaining confidentiality at all times

• To take minutes during meetings

• Organising School Nurse and Young Carer timetables 

• Organise the day to day running of the Entrust Counselling ensuring student’s timetables are updated

• To answer the telephone in a professional, friendly and efficient manner, using the corporate greeting and taking messages where appropriate 

Other

• Carry out other reasonable tasks as directed by Principal and a SLT member

• To be willing to undertake appropriate training in line with contractual duties 

• To be flexible in regards to working hours 

• Assisting with admin duties outside the Inclusion team, as well as small group intervention as an when required

• Fire marshal duties 

• First aid duties

Person Specification: Inclusion Administrator

Qualifications

• NVQL3 or equivalent 

• Right to work in the UK 

Knowledge, Skills and Experience

• Experience of running effective administrative systems 

• Experience of data entry into databases and other IT systems 

• Excellent communication, writing and editing skills 

• Excellent organisation and time-management skills 

• High level of proficiency with Microsoft Office 

• Able to build relationships with a range of stakeholders and anticipate others’ needs 

• Able to manage several projects at once, prioritising accordingly to meet all deadlines 

• Able to take ownership of tasks and work with minimal supervision

About Ark Globe Academy

In 2008 Geoffrey Chaucer Secondary and Joseph Lancaster Primary school merged to join the Ark network as Ark Globe Academy. Ark Globe Academy is a mixed all through school with student age ranging from 3-18.

At Ark Globe Academy we have the highest aspirations for all our children to ensure they are prepared for university and inspired to be leaders in their community. We offer our students a first-class education based on high quality teaching and experiences outside of the classroom.

Our school was recognised by the Government in its Parliamentary Review as an example of good practice in education and students make excellent progress at KS4. All our sixth form students received a university offer with 73% of those being a top 3rd university.

Ark Globe Sixth Form is in the top 2% of all sixth forms in the country and has received the Sixth Form of the Year award at the Ark Education Summit 2019.

School Structure

Ark Globe Academy is divided into four small schools Elbrus, McKinley, Kilimanjaro and Everest, also each small school has a Dean. This ensures that personal relationships between pupils and staff develop quickly, and that a culture of excellent behaviour and shared social norms are easier to maintain.
