We have a vacancy for a Library and Administration Assistant.  Reporting to the Librarian, the role will support the administration and smooth running of the College’s Information Centre (library) and also support the administration of the Duke of Edinburgh award.

Person specification

The person we are looking for should have experience in the following areas:

• Delivering exceptional customer service to students and staff.

Job description

Duties of role will include (but are not limited to):

• Working under the direction of the Librarian to support the smooth running and organisation of the College’s Information Centre, ensuring specific work programmes are completed successfully to agreed deadlines.

• Working with the in school Leader of the Duke of Edinburgh (D of E) programme to support administration of all D of E programmes run by the College, including planning and preparing for expeditions, correspondence with parents and staff. 

• Be able to work with the administration team and provide routine clerical/administrative support. 

• Ensuring that telephone and face-to-face enquiries from staff, students, parents, and visitors are dealt with promptly, tactfully, sensitively and professionally.

• Maintain computerised records/management information systems.

• Produce lists/information/data as required, e.g. pupil data.

• To provide basic first aid when required.

• Be aware of and comply with policies and procedures relating to child protection, health, safety

• and security, confidentiality and data protection, reporting all concerns to an appropriate person.

• Contribute to the overall ethos/work/aims of the school.

• Appreciate and support the role of other professionals.

• Attend and participate in relevant meetings as required.

• Participate in training and other learning activities and performance development as required.

• Demonstrate, give advice & guidance to, or train other employees, students or trainees on own duties.

• Completion of annual Review & Development process with the team.

• Completion of end of term and academic year processes.

• Liaison with wider College staff to ensure work provided is delivered efficiently.

• To maintain a high degree of confidentiality with regards to issues concerning members of staff and students. 

• To complete tasks and projects given by Librarian and within the specified time frame.

• To be committed to safeguarding and promoting the welfare of children and young people and follow the safeguarding policy. 

Any other appropriate duties and responsibilities relevant to the post as directed by the Chief Executive Officer, Deputy CEO, Principal, Vice Principals or Assistant Principals or Trust Operations Manager.
