Job overview

Reporting to the Head of Marketing this role will be instrumental in the smooth running of agent tours and organising of promotional School events such as Open Days/Evenings and Alumni Events.

The successful candidate will be responsible for:

  • Working with Admissions to coordinate family and agent tours; 
  • Organising promotional school events e.g. Open Days/Evenings, alumni events, agent visits;
  • Organising collateral for Open Days/Evenings;
  • Organising webinars for prospective students and parents;
  • Organising students to help with tours, for interviews, to attend events;
  • Overseeing planning and ordering of collateral for exhibitions including banners, tablecloths, additional flyers, subject guides etc. in collaboration with our school sales teams; and
  • Preparing for visits/events e.g. identifying suitable students to help meet guests. Organising student performances, producing information on students linked to visiting school agents.
     

Person Specification

We would expect the successful candidate to:

  • Coordinate and promote the running of an event, including     
    • all logistical arrangements (e.g. transportation between sites, catering, IT, audio-visual),
    • ensuring marketing collateral and giveaways have been prepared,
    • organising tours of buildings,
    • organising facilities etc
    • Organise students and others, such as staff, for events, profiles, agent events etc. 
    • This includes knowing which people are best suited for different events and ensuring we have the right people for each event.
  • Report on the success of events and make recommendations for future events based on data gathered.
  • Maintain records, minutes, market research data etc.
  • Select and order promotional merchandise for events, exhibitions and for use as corporate gifts.
  • Manage the storage, use and distribution of marketing collateral, information materials and equipment; creating systems to identify when stock needs to be replenished.
  • Organise travel and schedules for members of staff for events in the UK and abroad.
  • Support the Head of Marketing and the Marketing Manager with gathering marketing content and the organisation of any marketing activities where needed.

THE SCHOOL

d’Overbroeck’s is a co-educational independent day and boarding school in Oxford for students aged 11 – 18. The school roll currently stands at around 750, and this is set to grow in the coming years.

Founded in 1977, initially as a Sixth Form, d’Overbroeck’s has maintained its founding values throughout its growth.

d’Overbroeck’s consists of three sections:

Years 7-11 – 200 students; currently all day students although open to boarders from next year. Based at Leckford Place, OX2 6HX.

Sixth Form – 440 students; a mixture of day and boarding. Domestic and international. Based at a purpose-built site at 333 Banbury Road.

The International School – around 125 international students who are all boarders, across years 9-11.

All in all, this is a busy and happy educational environment in which staff and students enjoy positive relationships based on mutual respect and a shared sense of purpose. As our most recent ISI inspection report puts it:

‘A defining characteristic of d’Overbroeck’s is its close-knit, informal atmosphere within which students grow in confidence, self-esteem, respect for themselves and for others. Students are very supportive of each other and behaviour throughout is excellent, exemplified in considerate, warm relationships.

In its key findings, our most recent inspection report (2021) found that our students are highly motivated with extremely positive attitudes to learning. They were described as successful collaborative learners who are naturally inclusive. They were said to have a remarkably strong sense of self understanding and excellent awareness of how to improve and achieve their goals.
