Office Services Manager (Grade 6, SCP 9 - 15)
35 hours per week (permanent term time only)
Working hours 8.15am – 3.45pm, Monday - Friday
Salary range £20,903 to £23,541
Actual pro-rata salary will be £17,094.75
Required by end of April 2021
Deal with complex reception/visitor etc…matters.
Organise school trips/events etc…
Manage uniform/snack/other ‘shops’ within the school.
Provide advice and guidance to staff, pupils and others.
Dealing with children taken ill during the day.
Administering first aid as appropriate
Provide personal, administrative and organisational support to the Headteacher and other staff.
Provide administrative and organisational support to the Governing Body including occasional clerking for LGB when required.
Line management responsibility of one member of support staff.
Ability to liaise between managers/ teaching staff and support staff.
Hold regular team meetings with support staff.
Undertake recruitment/induction/ appraisal processes and training/mentoring of other staff.
Contribute to the planning, development and organisation of support service systems/procedures/policies in an Academy/Trust context.
Maintain accurate Single Central Record (SCR).
Undertake all necessary financial administration procedures using PS Financials finance package
Assist the Headteacher with the planning, setting, monitoring and evaluation of budget.
Manage expenditure within an agreed budget.
Undertake the administration of Payroll systems including monthly payroll checking.
Undertake general financial responsibilities including processing orders and invoices, receipt and recording of monies and reconciliation of locally held bank account.
Participating in all internal and external audit procedures as required by the Trust.
Contribute to the development of office systems and processes as required.
Manage manual and computerised record/information systems e.g. Integris, MyHealth&Safety etc
Analyse and evaluate data/information and produce reports/information/data as required.
Undertake typing and word-processing and complex IT based tasks.
Undertake research and obtain information to inform strategic planning decisions.
Assist with procurement and sponsorship.
Assist with marketing and promotion of the school.
Assist in the management of the administration of facilities including use of school premises.
Undertake administration of H&S procedures including supporting the audit process.
Complete and submit, necessary returns etc…including those to outside agencies e.g. ESFA and School census returns.
Assist in the management of the administration and support of confidential medical inspections and reports.
Promote and safeguard the welfare of children and young persons you are responsible for or come into contact with.
Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection and in particular the regulations relating to GDPR, reporting all concerns to an appropriate person.
