Job Description: Aspiring School Business Manager/PA to the Vice Principal 

Reporting to: Vice Principal – Business & Community 

Start date:  ASAP 

Contract: Permanent

Salary: £35,288 - £42,017 (Grade 10, band 35-42)  

Hours: 8am to 5pm   

This is an exciting time for an Aspiring School Business Manager/PA to the Vice Principal to join Ark Globe Academy.  We are looking to appoint an energetic and professional person to join a friendly, hardworking and dedicated Business Support Team.   

The Role  

To support the Vice Principal in all aspects of her role including generating business contacts, administration and working closely with premises, HR, catering, student services, finances and marketing department in order to ensure day to day activities run smoothly and effectively. 

Key responsibilities 

  • To ensure an exceptionally high standard of administrative and management support for the VP, in order to assist in the smooth running of all her responsibilities and activities and enabling her to operate in a highly efficient manner 
  • To manage her diary, inbox and enquiries in her absence 
  • To actively promote the academy and liaise with outside agencies as necessary, representing the academy as appropriate 
  • To communicate and liaise with staff, students, parents, governors and members of the local community as appropriate 
  • To develop positive and constructive relationships with a range of external agencies and professionals 
  • To demonstrate a commitment to Equality of Opportunity for all members of the Academy’s community. 
  • To deputise for the Vice Principal – Business and Community as required 
  • Work closely with the VP and Finance Manager to ensure financial evaluations are realistic and balanced budget in order to be presented to the Governors 
  • Work closely with the VP and Finance Manager to ensure agreed budget is actively monitored and controlled performance to achieve value for money 
  • Act as the school’s Health & Safety Co-ordinator and Fire Officer 
  • Ensure the maximum level of security consistent with the ethos of the school 
  • Able to generate income and write successful bids for identified projects
  • Ensure 100% KS4 intended and final destinations are recorded for students
  • Ensure an up-to-date library regarding career opportunities is available
  • Oversee the annual Sixth Form Networking evening
  • To embed a metric tool to measure university and workplace readiness in an age appropriate way so that all stakeholders can refer to this alongside academic and Globe Growth data
  • Support the Careers Adviser to ensure that all Students have access to one-to-one career guidance interviews thorough their time in Year 11.
  • Oversee Globe’s internal Careers fair
  • Create inspiring CIAG displays around the academy
  • To lead on the ‘Every’ system ensuring H&S and operational compliance

Detailed Responsibilities 

  • To meet weekly to agree priorities and actions for the week ahead 
  • To liaise with all the operational middle leaders regarding matters requiring action 
  • To respond to e-mails on behalf of the Vice Principal where required 
  • To write letters, minutes, papers and correspondence with absolute accuracy and impeccable standard English and in a timely manner 
  • To ensure that all enquiries and correspondence are dealt with promptly and effectively, in a manner that promotes a positive image of the Academy 
  • To make maximum use of the Academy’s developing information and communications technology, including the network for diary management and the effective management of data bases 
  • To set up and maintain efficient and effective systems for filing and organising correspondence and paperwork, in liaison with the Vice Principal, ensuring discretion and respecting confidentiality

Other 

  • To undertake training and development relevant to the post and in line with the Academy’s priorities 
  • To carry out break/lunch duties as required 
  • To carry out exam invigilation as required
  • Based on the needs of the role and the Academy the responsibilities will and may change 
  • Undertake any other professional duties as set down in the ARK Schools pay and conditions of service document, and as directed by the Principal/Vice Principal. 
  • Ability to work flexibly, outside of 08:00 to 17:00 hours to support team and school events, busy periods 
  • In addition to the responsibilities listed above, all employees must be adaptable in their approach and undertake other duties that are commensurate with postholder’s level, wherever they may be, to achieve the objectives of the Academy

Person Specification: Aspiring School Business Manager/PA to the Vice Principal 

Qualification criteria 

  • Qualified to work in the UK 
  • English and Maths qualifications that demonstrate a high levels of literacy and numeracy  
  • Relevant qualification in office administration and/or ICT applications (desirable) 
  • CSBM/DSBM qualifications (desirable)
  • AAT/ACCA qualification (essential)

Experience and Knowledge 

  • Experience of having worked successfully in a school 
  • Experience of running effective administrative, clerical and financial systems 
  • Experience of diary management  
  • Experience of a senior administrative role  
  • Excellent organisation and time-management skills 
  • High level of proficiency with Microsoft Office

  • Helpful, honest, approachable, positive and the ability to stay calm and diplomatic under pressure   
  • The ability to work in close harmony with all staff 
  • The ability to follow instructions accurately, but make sound judgements and lead/show initiative when required

In 2008 Geoffrey Chaucer Secondary and Joseph Lancaster Primary school merged to join the Ark network as Ark Globe Academy. Ark Globe Academy is a mixed all through school with student age ranging from 3-18.
