Surbiton High School is looking to appoint a Senior Admissions Assistant who will support the Head of Admissions in all aspects of pupil recruitment and in particular lead on the Year 6 into Year 7 transition and occasional place entry to the Senior School. The successful candidate will be a hands-on and experienced professional who will be aligned to the School’s ethos and values. You will inspire confidence and trust, operate collaboratively with a diverse group of staff, pupils, parents and prospective parents and immerse yourself fully in the life of the school.


The ideal candidate will have a strong track record of success, preferably in an educational environment.


Will be creative, energetic and pro-active; offering solutions and possessing the ability to work independently. Delivering on promises is key. The successful candidate will have a good work ethic, be flexible, pragmatic, well organised and a credible ambassador for the School. You will be able to work effectively with different groups of people and alongside other key members of staff, get the best out of people and operate with purpose, integrity, enthusiasm, good humour and tact.


Job Purpose: Supporting the Head of Admissions in all aspects of admissions

Reporting Line: Head of Admissions

Tenure: Permanent, Full-Time Hours, Part-Time weeks.

Monday to Friday, 37.5 hours/week, with flexibility required around working hours. 42 weeks of the year (term-time plus 6 weeks)


Key Responsibilities:

  • To support the Head of Admissions in delivering excellent, warm, professional ‘Gold Standard’ service to both prospective pupils and their parents as well as existing pupils and their parents, across the whole of their admissions journey, with a specific focus of working alongside the Head of Year to lead on the pupils transitioning from primary to secondary school (Year 6 to Year 7) and those looking to join our Senior School on an ad-hoc basis.
  • To represent the Admissions Department at key events for prospective and existing pupils which may include occasional evening and weekend feeder school events.
  • To work alongside the Head of Admissions and provide support to the Department, including but not limited to:Leading on the Year 7 admissions process from initial enquiry through to application to onboarding with support from Head of Admissions
    Coordinating all Entrance Exam communications, pre-entrance, post entrance exam, and outcome notifications
    Communicating outcomes with all feeder school Heads
    Updating and coordinating Year 7 joiners and medical questionnaires
    Coordinating events for new Year 7 joiners
    Overseeing assessments and attending assessment days and relevant subject confirmation meetings
    Entrance Exam organisation and correspondence
    Arranging and attending new pupil Introduction mornings
    Arranging and coordinating feeder school visits for Year 7 pupils
    Processing bursary applications and renewals and providing reports for the Principal for outcome decisions
    Creating personalised offer letters
  • To be fully conversant in the School’s CRM Systems and take on all necessary training to enable full engagement with the systems
  • To set up and attend Open Events across all three schools, including rearranging venues and furniture, and transportation of collateral and materials leading on the Year 6 transition event.
  • To carry out any such duties as may be reasonably requested


The successful candidate will be likely to fit the following profile:

  • Strong administrative background and an understanding of admissions procedures (essential)
  • Experience within an educational environment, and particularly within independent school admissions, would be an advantage
  • Excellent understanding of ‘Gold Standard’ customer service
  • Understanding of, and sympathy with, the independent school sector (desirable)
  • Educational background to Degree level (desirable)
  • Excellent attention to detail and administrative skills
  • Evidence of challenging and supporting colleagues to improve performance
  • Record of developing and sustaining positive working relationships
  • High level of personal and professional organisation, integrity, discretion and confidentiality
  • Impressive personal presence and presentation with high degrees of self-confidence personal energy and dynamism
  • Personal warmth to engage positively and gain confidence of pupils, staff and parents as a front-line ambassador for the school
  • An ability to further relations with feeder schools both in the maintained and independent sector
  • Commitment to use current and emerging technologies to enhance the educational offering and administration of the school
  • Ability to communicate concisely and sensitively both orally and in writing
  • A passion for excellence and a willingness to engage in the life of the school community so as to support our vision and values
  • Excellent organisation and analytical skills, ensuring an ability to define and manage Admissions processes and events
  • Ability to work effectively under pressure and manage multiple tasks and priorities
  • Outstanding interpersonal skills and the ability to interact well with people at all levels and build relations
  • Excellent telephone manner and IT skills
  • Understating and experience of, and ability to use, the functions of a database, including reporting
  • Alignment with the aims and ethos of independent education in general and Surbiton High School in particular (essential)
  • Willingness and availability to attend open days and other admissions related events (Examination days, scholarship days etc) including occasional evenings and weekends
  • Pro-active with a positive ‘can-do’ and enthusiastic attitude
  • Reliable, well organized with good attention to detail and deadlines
