We are now looking to appoint an Administrator to assist with the effective running of our Welfare & Attendance Department. You will be required to prepare and maintain accurate pupil records and admission data within the Management Information System (MIS).  You will be communicating with families of students completing first day absence calls and receiving calls from parents on the absence line. You will also be required to cover student reception across the Campus. The Welfare & Attendance Administrator will have responsibility that will span across both Stoke Damerel Community College and Scott Medical and Healthcare College.

No additional travel is required as the sites are next door to each other.

Hours of Work: 35 hours per week x 39 weeks per year

Probation: New employees are required to complete a six-month probationary period.

Main purpose of the role:

To prepare and administer data within the Management Information System (MIS), and cover student reception.

Main duties and responsibilities

● To maintain pupil records and admissions data in the MIS

● To collect and collate pastoral data and ensure that it is entered and stored in the MIS

● To assist in the preparation and administration of pastoral information as directed by the

Leadership Team and pastoral teams e.g. Pastoral Review Summaries.

● To update ‘student advice’ on pastoral matters

● To enter student registration and ‘line up’ data

● To disseminate information to pastoral teams, such as detentions lists

● To prepare attendance information for Heads of Year

● To complete first day calling for absent pupils, and receive calls from parents on the absence line

● To enter attendance codes into the MIS

● To collect and collate assessment information in preparation for reports and parents’ evenings

● To ensure class lists are up to date as directed by the campus data manager

● To administer the organisation of the options process at transition points

● To prepare data and lists for trips and visits

● To run the student reception area

● To order equipment / uniform needed for students and stock take orders

● To carry out duties as required as part of the data and attendance team.

Whilst every effort has been made to explain the main duties and responsibilities for the post, each individual task undertaken may not be identified. This is a newly created role and inevitably duties will develop and change, therefore the post holder should expect periodic variations to the job description. The job description, in consultation with the post holder, may be changed by the Headteacher to reflect or anticipate changes in the job commensurate with the grade and job title.
