Job overview

The Principal’s Personal Assistant (PA) is primarily responsible for supporting the Principal and assisting in the smooth running and efficiency of the Principal’s office and effectively helping to support the day to day priorities, appointments and tasks .

Tenure:  Permanent, Part-time (flexible, but no less than three days per week)

Key Responsibilities:

· Assisting with and creating a range of correspondence, documentation and reports on behalf of the Principal 

· Assisting with the preparation of speeches and assemblies

· Dealing with the United Learning Fees Department and liaising with parents with discretion and sensitivity over such matters

· Extensive diary management, including but not limited to: prioritisation of meetings and telephone calls; booking UK and International travel, accommodation, courses and conferences; minute taking; creating itineraries and travel packs, and allocation of meetings and calls within a busy schedule

· Managing a ‘bring forward’ system, ensuring that the Principal is well prepared and fully briefed ahead of each day

· Ensuring the correct, timely and appropriate dissemination of information amongst the Senior Leadership Team 

· Dealing with and managing the School’s response to any Subject Access Requests

· Maintaining an efficient paper and electronic filing system within the Principal’s Office

· Undertaking personal work for the Principal where required

· Taking calls and directing them appropriately

· Providing refreshments for meetings

· Administering student absence, as and when required

· Offering support to the Senior Leadership Team where appropriate

· Ensuring the Principal’s schedule and supporting documents are prepared each day

· Liaising with relevant staff and department regarding the Principal’s involvements and attendance at School events

· Where necessary, maintaining accurate and up to date records for pupils on the School’s Management Information System and within additional internal record keeping systems

· Performing other duties as may from time to time be assigned, including, but not limited to, ad hoc administrative duties within the School Office and Reception

· Carrying out such duties as the Principal may reasonably request

The successful candidate will be likely to fit the following profile: 

· Previous Personal Assistant experience essential 

· Experience of working in a school desirable 

· Computer literate with a working knowledge of Microsoft Office packages including Word, Excel, PowerPoint and Outlook 

· Good telephone manner

· Ability to work as part of a team and on own initiative

· Experience in responding to queries and problem solving

· Practical experience of working in a busy office

· ‘Can do’ attitude, a flexible approach and a commitment to the delivery of an outstanding level of service

· Smart appearance

· High levels of personal and professional organisation, integrity, discretion and confidentiality

· Personal warmth and energy to engage positively and gain confidence of pupils, staff and parents

· The ability to establish and maintain effective working relationships with all levels of personnel within the organisation 

· Sound judgment and the ability to take difficult decisions to resolve issues, especially when under pressure

· Ability to communicate concisely and sensitively both verbally and in writing to a variety of audiences

· Ability to juggle multiple priorities

· IT Literate, with extensive knowledge of Microsoft Office Software, including Word, Excel, Outlook, PowerPoint and databases

· Commitment to the use of current and emerging technologies to enhance the educational offering and administration of the School

· A passion for excellence and a commitment to the ongoing development and implementation of the School’s vision
