Working with IE University (one of the world’s leading Business Schools) our mission is to provide students with an outstanding preparation to navigate a world in constant change. Our blended IBDP College will embed in the curriculum the entrepreneurial, cultural, communication and technological know-how to ensure that our students leave with an education unlike any other.

Are you entrepreneurial, innovative, and ambitious? If so we want an Academic Secretary to join our team this summer. The role would suit an energetic, dynamic early career professional. Strength in languages (Especially English and Spanish) is highly valued, as is an innovative approach.

The Academic Secretary´s role is to facilitate the work of the Academic team and may include... 

Examinations:

Act as exams secretary: preparing information, receiving and storing examination papers, arranging mock and real exam sessions, collating marks and preparing data for analysis.

Managing CAT4 testing and PASS testing for current and potential students and preparing subsequent documentation

Managebac

The AS will take an overview of managebac to ensure it´s proper running, troubleshooting of problems and data entry. This would include checking and verifying all data.

Diaries

The Academic secretary will have an overview of the diaries of the School Principal, IB Co-ordinator and Head of Pastoral.

Note taking

The AS will take notes and keep records of key academic meetings including:

• Senior team meetings
• Whole school team meetings
• Pastoral and boarding meetings

Communication

The AS will co-ordinate, prepare and send any key communications to the students from the Principal, DPC, Director of University Admissions, Head of Pastoral, Housemaster. 

Record keeping

The AS will keep up to date online records on:

• Training

• HR and staff paperwork

Additional

• Monitoring requests for absences

• Monitoring requests for subject changes

• Monitoring Principal e mail 

• Organization of staff cover
