We are seeking to appoint an experienced and enthusiastic Accounts & Administrative Assistant to join our Administration Team at L’Ecole de Battersea Pre-Primary and Primary Bilingual School. 

The successful candidate will be: 

• An outstanding administrator with experience in accounts or bookkeeping

• Competent, flexible, adaptable and have strong organisational skills 

• Able to demonstrate excellent written, numerical, and oral communication skills

About the school: 

L’Ecole de Battersea (Ecoles homologuées) is an outstanding bilingual school where pupils receive a bilingual education after which they go on to join either the French system or prestigious London Day schools. The school follows primarily the French curriculum interspersed with English and takes pride in promoting the English culture and heritage to pupils from a broad range of international backgrounds. The school is known for teaching a very high quality of English and supports pupils who would like to continue their schooling in English secondary schools.

Main Duties and Responsibilities

• Maintain good relationships with all students, parents, carers and    colleagues

• Represent the school with ‘front of house’ tasks, engaging with parents who visit the school and assist pupils if and when necessary 

• Daily posting of supplier invoices onto SAGE 50 accounting system, ensuring all invoices are approved by the responsible staff member for processing

• Run a weekly BACS report to capture all invoices due for payment in a specific week, and ensure that the BACS instructions and all related invoice back-up are available to the General Manager for checking and payment

• Collate daily bank statements and ensure that all bank postings and receipts have been completed, and all entries on SAGE are allocated

• Prepare and print class lists for invoicing of school fees using ScholarPack our school management information system

• Assist the General Manager with aspects of payroll administration including preparation of timesheets and entry of absences,

• Ensure the safe receipt, handling and banking of monies and cheques received

• Receive, record and bank all monies relating to school clubs, canteen and school trips

• Petty cash control and reconciliation -  issue petty cash payments ensuring required receipts and signatories are obtained for all purchases and expenses

• Assist in the collection, extraction, and entry of data required to submit the annual school census as required by the Department of Education, as well as other statutory returns

• Work alongside the School Secretary to maintain daily security at the school gates especially during the drop off in the mornings and collection of pupils in the afternoons, as well as monitoring visitors coming into the school during school hours

• School Bus management – work alongside the School Secretary to maintain the bus lists on a day to day basis and ensuring that all pupils board and exit the bus safely

• Compile the schedules for the Canteen, Garderie and School Bus for invoicing

• LEF (Parents Association) – assist in weekly fundraising efforts and collect, record and bank all monies received

• Collate worksheets from the staff for school maintenance

• Photocopier and printer management - check invoices against orders and supplies

• Support the school admin assistant in the ordering of stationery and other materials

• Assist in projects as and when needed

• Deputise for the General Manager in his duties as Fire Marshal and First Aider

General Duties and Responsibilities

• Uphold all relevant school policies especially Safeguarding, Health & Safety and Fire Regulations

• Attend relevant meetings, training and school events as required

• Understand emergency procedures for lockdown, fire or evacuation and be able to assist staff in the safeguarding of the pupils 

• Assist in keeping the School premises and immediate environment in good order 

• Participate in school life
