Looking to take your first step in education?  We are looking for a dedicated and detail-orientated individual to join Harris Primary Academy Kenley as Administrative Assistant, working within the admin office and undertaking administrative and reception duties.

Main Areas of Responsibility

Organisation

  • Collecting money from parents via parent pay in connection with academy trips, uniforms or other necessary payments
  • Issuing electronic order forms to budget holders and then ensuring all orders once complete are processed through the academy’s accounting system
  • Ensuring the collection on all revenue associated with sales invoices in a timely manner
  • Making payments (grants and academy trips etc)
  • Reconciling the petty cash
  • Any Ad hoc task where necessary
  • Issue FSM vouchers and complete the reconciliation
  • Maintain and reconcile Credit card purchases monthly
  • To be responsible for the academy banking
  • Dealing with incoming and outgoing post
  • Ensuring an appropriate filing system is maintained
  • Assisting Finance Business Partner and Office Manager with audit requirements

Administration

  • Provide general clerical/admin support e.g. photocopying, filing, e-mailing, scanning, completing standard forms, responding to routine correspondence.
  • Produce reports/lists/information/data as required.
  • Undertake typing, word processing and other IT based tasks e.g. letters, email responses to parents and the general public, sending texts and messages via MIS systems.
  • Assist in maintaining/collating pupil files and reports. Updating manual and computerised records/Management Information Systems.
  • Assist with other duties as may be reasonably be requested by the Office Manager/ SLT/ Head of Academy.
  • Assist the Academy by maintaining good relationships with staff, parents, governors, contractors, representatives and external agencies in order to promote the objectives of the academy.
  • Provide timely and effective operation of administrative support to the Office Manager.

Other Duties

  • Be aware of and comply with Academy policies and legal requirements.
  • Be a role model for the Academy’s values.
  • Contribute to the overall ethos of the Academy and be committed to helping students access learning.
  • Engage actively in the Academy’s performance management system.
  • Participate in in-service training as appropriate and commit to your own continuous professional development.

Qualifications & Experience

The successful candidate will have:

  • Experience of delivering a high-quality service
  • Experience of a range of general administrative duties
  • Good ICT skills and experience, including Word, Excel, and various management information systems
  • Experience working with children of relevant age (3-11)
  • Good standard of general education, including literacy and numeracy skills
  • First Aid training, or a willingness to obtain certification

School summary

Harris Primary Academy Kenley opened in September 2013. We have more than 400 lively young minds at our Academy. Children are supported to be the best they can be by our dedicated teachers and support staff.

Our aim is to provide a happy, safe and focused school environment that engages children fully in their learning. We plan and tailor the curriculum to our pupils so that each is taught in the way that suits them best. We encourage all children to follow their natural gifts and talents and nurture these in every way we can both in classes and through extracurricular activities and trips. Our pupils are sensible, eager to learn and enjoy coming to school each day.

Academy Ethos

Our aim is to make sure that, from the first day of their education, our pupils have a truly happy experience of school. This means teaching them to become confident learners and nurturing each child’s personality and character.

Whatever a child’s background or starting point, we want to make sure that they finish Year 6 with the academic skills, social skills and knowledge necessary to succeed. Every lesson at our school is creative and there is plenty of time for children to think, to play, to discover and wonder.

Each child is taught in the way that suits them best and we step in quickly if a change is needed. For some children, this might involve one-to-one support if they are finding something difficult and for others it could mean stretching them more to keep them interested.

Our school is relaxed and comfortable but pupils know that good behaviour is expected of them and are taught to respect each other and their teachers. They are frequently praised and rewarded for trying their best and for being kind, hard-working and well-behaved.

Our school is friendly and welcoming and we always make sure that every pupil has at least one friend.
