Description The role of Administrative Assistant will support nominated Assistant Directors and the Senior Education Officer Continuum of School Improvement in their roles. Performance management and development processes for the role of Middle Leadership Coach will be established through the Director, Catholic Schools. These will include feedback mechanisms from Assistant Directors and the Senior Education Officer Continuum of School Improvement.
Position Requirements As a member of the Office of the Director:
• Provide high level administrative services to Assistant Directors and Senior Education Officer (COSI) including:
• Desktop publication and document production, publications, communications (mass mailouts, etc.) and presentations
• Manage outgoing correspondence
• Calendar management
• Schedule and organise meetings and meeting rooms; organise catering as required
• Create and distribute agendas, take minutes at meetings and distribution
• Function coordination
• Booking of accommodation
• Setting up of Survey Monkey surveys liaising with stakeholders and provision of school help desk support, downloading and analysing data and preparing reports
• Coordinate timeline for COSI within schools
• Website updates including undertaking required research, entering of reports and liaison with website provider as required
• COSI e-workbook liaison with Smartersoft, provision of support for school, report generation
• Annual school reports data entry, uploading to website, proofing and editing of reports and provision of support to schools in relation to reports
• Coordination of events as required by Assistant Directors and coordination of Curriculum Focus Days ( CFD’s )
• Meeting Support including:
• School Improvment and Performance Team ( SIPT ) Meetings
• Stakeholder meetings
• COSI Focus Group
Essential Criteria • Advanced computer and desktop publishing skills (all Microsoft Office programs)
• Ability to use analytical programs and survey tools
• Ability to develop, implement and monitor office systems, schedules, procedures and methods, adapt processes and techniques as required, to facilitate efficient team operations in line with CSO standards, policies and procedures
• Excellent written communication skills and strong verbal communication skills and interpersonal skills
• Demonstrated initiative and self-motivation
• Ability to organise workload, meet deadlines and work unsupervised, setting priorities planning and organising one’s own work and that of others to meet team objectives
• Ability to respond to and resolve complex enquiries and issues to ensure the provision of accurate information, and the timely and effective resolution of issues.
• A high degree of discretion, confidentiality and the ability to handle work situations in a professional manner
• Ability to work as an effective and collaborative team member ensuring high level communication with Assistant Directors, the Senior Education Officer (COSI) and fellow team members within the Office of the Director
• The successful applicant will need to comply with the CSO Accreditation to Work Teach and Lead Policy
