Are you a positive, dynamic administrator looking to make a difference? City Academy Birmingham is looking to recruit an Attendance and Admissions Clerk to join its dynamic, committed team.

You will hold a full clean driving licence and will be committed to safeguarding and promoting the welfare of children and young people and expect all staff and volunteers to share this commitment. Any offer of employment will be subject to receipt of a satisfactory DBS certificate.

Job Purpose and Responsibilities

  • Liaise with Academy students, parents/carers and  staff to effectively organise and manage the administration processes and procedures for attendance
  • Liaise with Form Tutors and Heads of Year on student attendance matters and administer and support the Form Tutors and Heads of Year as required
  • Take and convey messages from parents about absence children seeking to improve      communication between the Academy and parents/carers
  • Monitor student attendance, ensure checks are made on missing students, and ensure      Progresso is updated so that attendance is properly recorded and accurate      data can be retrieved
  • Provide advice and guidance to staff, students, parents/carers and others
  • Organise and liaise with staff, students, parents/carers and other agencies in  order to support the City Academy Admissions and Appeals process
  • Work  closely with teaching staff and the Senior Management Team on matters associated with Admissions and Appeals process
  • Assist the Academy by developing and continually improving the Admissions and Appeals process
  • Co-ordinate and manage the complete admissions programme for all new students joining      City Academy.
  • Provide advice and guidance to staff, students, parents/carers and others
  • Maintain the necessary degree of confidentiality at all times
  • Administer the end-to-end City Academy Admissions and Appeals process ensuring that all applications, paperwork and relevant information is in place, information systems are updated and staff, students, parents/carers and others are well informed.
  • Update general office procedures to reflect current practice
  • Undertake administrative tasks as directed by your line manager
  • Undertake typing, word-processing, photocopying, filing and associated administrative tasks
  • Scan documents and shred those no longer required
  • Collate and prepare data/information and produce reports/information/data on a daily, weekly, termly, annual and ad hoc basis
  • Request, collate, proof read and print reports/letters/documents as required
  • Reply to parents’ requests for information or queries in writing and by telephone 
  • Produce and post up-to-date information on attendance notice boards, to ensure that staff and students are kept updated on attendance matters
