We are looking for an experienced school administrator to join our office team as Attendance and Admissions Officer.

About Us

Harris Primary Academy Mayflower is a successful academy that was judged outstanding in every category in our May 2017 Ofsted inspection. We are a 5 form entry primary school, opening with a Reception cohort and are growing by a year group at a time with currently 902 pupils on roll from Nursery to Year 6.  

We are a sister school to Harris Primary Academy Chafford Hundred and Harris Academy Chafford Hundred, along with the other Academies in the Harris Federation.  We work very closely together and share the very best practice and leadership knowledge and capacity to make the education we offer outstanding.  Our shared belief is that children thrive when they feel consistently happy and safe at school and our commitment to excellence is encapsulated in our vision statement: "Excellence, Every child, Every day."

Main Areas of Responsibility

The purpose of your role will be:

  • Administration of Nursery, Reception and in year admissions to the academy
  • Co-ordination of Appeals
  • Data administration and support
  • Improve and monitor attendance for all pupils

Your responsibilities will include:

  • Assisting Senior Leadership Team in the Management and Development of attendance and punctuality policies
  • Daily monitoring and follow-up of attendance and punctuality
  • Participating on late desk
  • Making home visits with the Education Welfare Officer or member of SLT
  • Sending template letters to parents regarding attendance matters
  • Ensuring the smooth operation of the computerised registration system
  • Ensuring daily attendance information is entered accurately onto the system
  • Establishing the reason for absences in liaison with parents
  • Preparing and distributing attendance and punctuality certificates
  • Following up on poor attendance or punctuality
  • Liaising with the Educational Welfare Officer to ensure prompt, consistent and rigorous intervention with poor attendance
  • Monitoring student attendance together with pupils’ progress and performance in relation to targets set for each individual
  • Dealing efficiently and effectively with referrals on attendance concerns
  • Alerting staff to problems experienced by pupils and to working collaboratively with other academy staff as to how these may be resolved
  • Communicating with parents and with persons or bodies outside the Academy concerned with the welfare of individual students
  • Organising fortnightly meetings with SLT to review attendance figures and action taken
  • As LAC mentor, meeting with LAC students weekly and passing on any relevant information regarding their welfare to appropriate staff
  • Administration of admissions in to the Academy, including co-ordinating open mornings and taking and responding to telephone and e-mail enquiries
  • Main point of contact for Admissions, Open Evening, Transition and other student Induction events
  • Administration of Open Morning, including arranging publicity and assisting at the event
  • Ensuring that transition and enrolment with the Academy goes smoothly
  • Contacting the parents of students who do not start the Academy when expected.
  • Developing relationships with feeder and local Nursery Schools and settings
  • Keeping up to date with new Admissions Regulations and policies
  • Co-ordination of appeals
  • Administration of In-Year admissions in to the Academy

Qualifications & Experience

  • A good standard of education especially in literacy and numeracy
  • Sound knowledge of Microsoft software
  • Knowledge of MIS for input and export of student attendance data and the generation of reports.
  • Training on MIS in relation to attendance and report generation
  • Knowledge of attendance policies and procedures
  • Knowledge of the range of agencies that work with students and their families
  • Basic knowledge of first aid (e.g. emergency first aid course) or willingness to undertake training.
  • Knowledge of a range of attendance codes and when they can be used
  • Knowledge of many of the social issues facing students from disadvantaged backgrounds
  • Two years’ experience of working in an educational establishment
  • Experience of meeting with parents/carers formally and informally
  • Experience of managing attendance systems, including completing weekly, half termly and annual reports 
  • Experience in a similar role
  • Ability to effectively prioritise own workload.
  • Experience of working with primary age pupils

School summary

Harris Primary Academy Mayflower opened in September 2014 in order to meet the significant need locally for new places. It started with a Reception cohort and will grow by a year group at a time. Our brand new building, opened in September 2016, is an inspiring place in which to teach and learn.

It is a sister school to Harris Primary Academy Chafford Hundred and Harris Academy Chafford Hundred, along with the other Academies in the Harris Federation.

Academy Ethos

Our aim is to make sure that, from the first day of their education, our pupils have a truly happy experience of school. This means teaching them to become confident learners and nurturing each child’s personality and character.

Whatever a child’s background or starting point, we want to make sure that they finish Year 6 with the academic skills, social skills and knowledge necessary to succeed. Every lesson at our school is creative and there is plenty of time for children to think, to play, to discover and wonder.

Each child is taught in the way that suits them best and we step in quickly if a change is needed. For some children, this might involve one-to-one support if they are finding something difficult and for others it could mean stretching them more to keep them interested.
