Job overview

The Cover Manager is responsible for: 

The proactive management and allocation of cover for planned and unplanned absence of teaching staff, to ensure the appropriate deployment of teachers, supply staff and cover supervisors to cover absences and emergencies.  

Ensuring all orders and bookings for cover and supply are uploaded to the finance system, PSF Finance; maintain and update as appropriate. 

Checking and signing off all supply invoices. 

Acting as an additional Cover Supervisor and following school protocols for registration and cover lessons. 

The day to day management and appraisal of the Cover Supervisor team, to include:  

-identifying training needs and appropriate development opportunities.   

- to have completed the Safer Recruitment training. 

-recruitment, attendance, oversight of the cover supervisors and any other relevant associated personnel issues. 

-ensure all school policies are followed and adhered to by the cover supervisors and all external supply staff. 

-head up weekly and 1:1 meetings with the cover team; identify any issues and resolve. 

Timely communication of unplanned absence to Heads/ Deputy Heads of Faculty, Heads of Key Stage and SLT as appropriate. 

Working with the Exams and Data Manager during exam season to allocate staff and invigilators to help with the smooth running of exams. 

Liaising with effective supply and recruitment agencies in engaging appropriately qualified supply staff to cover absences and temporary vacancies whilst communicating with Vice Principal re cost if required.  

Providing staff with cover details, including cover work sheets and materials, registers and resources at the start of the day and when emergencies occur.  

Managing room changes. 

Being available at all times (including on occasion out of school hours) as the main point of contact for any problems/solutions that may occur in relation to cover.  

Monitor the effectiveness of supply staff as per school policies and procedures, informing line manager of any concerns.  

Advising line manager and the senior leadership team on matters relating to cover arrangements. 

Weekly meeting with the Vice Principal to update and inform of any upcoming events, trips, staff absence etc that may require extra cover requirements. 

Compile and keep updated a supply booklet with all safeguarding, school policies and necessary information for all temporary teaching staff. 

Keep records on cover data to ensure that regulations are adhered to. 

Welcome and manage of external cover teachers where necessary, including;  

-their induction to the school and helping them with lesson readiness.  

-developing and maintain relationships with cover agencies providing external cover teachers. 

-ensuring they are aware of safeguarding protocols. 

 Administration Duties: 

To co-ordinate the booking of training courses for staff, ensuring relevant staff are up to date with any specialist training ie First Aid, Midas, Safer Recruitment, Safeguarding etc.  Working with the Safeguarding Lead to ensure whole school training is up to date and in place with the relevant staff, and all new policies and changes are adhered to throughout the year.  Maintaining all staff training records in a timely manner, to include any third parties on site. 

Using PSF Finance to book all training, working with the finance team. 

To re-in force standardised administrative systems, processes and working practices across the school.  

To promote the delivery of a standardised set of high quality secretarial, administrative, customer service and time management skills across the office team. 

To maintain strict confidentiality with all data with due regard to GDPR regulations.  

To undergo any training required in order to perform duties effectively and be willing to train as a first aider. 

To carry out any other reasonable task at the request of the Senior Leadership Team. 

Attend meetings where appropriate.  

Supporting the HR team; working together to ensure long term supply is appointed and successful. 

To undertake any other administrative tasks related to the post. 

To create and update information screens weekly, collating information from departments and designing and uploading slides.  

Working with the Vice Principal on the coordination of events throughout the year. 

 Other Responsibilities: 

Operate relevant equipment/ICT packages (e.g. SIMS, word, excel, databases, spreadsheets, Internet). 

Attend and participate in relevant school events as required.  

Carry out all duties in the strictest confidence and in compliance with the Data Protection Act.

’Greater Peterborough University Technical College (GPUTC) is a STEM specialist school currently for students aged 11 to 19. Located in Peterborough city centre, the £12 million school opened in September 2016 to help create the city’s future scientists, engineers, designers, architects and construction specialists of the future. UTC’s are secondary schools for young people that are sponsored by a university and local employers. They were set up by the government to encourage young people to study technical subjects and to give them the opportunity to learn the skills that employers are looking for.

GPUTC is a valued member of the Meridian Trust and as such benefits from a supportive network of leadership at senior and subject level and is fully integrated and accessing all support services such as HR and financial support. In 2022, the first year of year 7 students, GPUTC was oversubscribed with many parents wanting not only a smaller school for their child but also one which specialises in a STEM curriculum.  In Key Stage 4, which from 2023 will start in year 9, students can study separate sciences, engineering and the built environment (made up of architecture, design, surveying and construction) along with their core GCSE subjects. Students are also given the opportunity to pick from computer science, art and design and some humanities subjects all of which augment a STEM rich curriculum.  In year 12 students may commit themselves to, from 2023, T ’Levels in ‘Engineering and Manufacturing’ and ‘Health Care Science’ there will also be a traditional route of A Levels in such subjects as Maths, Science and Product Design.
