OVERVIEW OF THE JOB ROLE

With direction from the Assistant Head (Academic), the Curriculum & Timetable Manager will construct and adapt the school’s timetable. Once constructed, the timetable will subsequently be maintained on a daily basis, including frequent withdrawals and enrolments into subjects and classes. In addition, the Curriculum & Timetable Manager administers and monitors the use of all school rooms and capacity, the whole school cover procedure/process/logging, the generation of curriculum data and maintains swift response to emails from various stakeholders.

MAIN RESPONSIBILITIES:

•  To work with the Assistant Head (Academic), to maintain the timetable for rooms, staff, classes, subjects and scheduled activities using Microsoft Excel and infrastructure software. This will include:

o  Collating and inputting students’ subject choices (pre and post arrival);

o  Running reports during enrolment periods (September and January) to ensure accurate information regarding new students;

o  Creating and closing classes, allocating and changing staff and allocating appropriate rooms to maintain efficient use of our resources;

o  Implementing changes to the timetable throughout the year in conjunction with the Assistant Head (Academic);

o  Completing student enrolments at the end of the year.

•  To maintain accurate student enrolments pre and post arrival, pertaining to classes, subjects and scheduled activities including one to one sessions, revision, resit and surgery classes and additional learning support.

•  To be responsible for creating Personal Tutor groups at the start of each academic year and allocating students to groups, maintaining up to date Personal Tutor group lists and creating corresponding enrolments throughout the year.

•  To check on room availability and making one-off room-bookings for staff (often required at short notice).

•  To support the Examinations Manager regarding rooming plans and internal invigilation schedules for examinations.

•  To manage his/her email account through regular and efficient checks and responses.

•  To provide Curriculum data & reports for the Senior Leadership Team and other staff upon request.

•  To arrange Staff Cover each morning (covering lessons and duties) and ensuring a record of teachers’ usage and free periods is kept up to date.

•  Ensuring accurate logs of staff absences, planned and unplanned, and reporting the summary to the Senior Leadership Team on a monthly basis. 

 

PERSON SPECIFICATION:

Qualifications and experience

*Essential- Evidence of continuing commitment to self-development; PC and IT literate including data entry; Ability to gather and analyse data in an accurate and organised manner; Pro-active approach; Highly organised; Energetic and enthusiastic; Willingness to learn and acquire new skills.

*Desirable- Knowledge and understanding of the curriculum and qualification frameworks; Timetabling experience in school/college/university settings; Customer services environment experience.

 

Skills/ abilities:

*Essential- Demonstrates understanding and commitment in supporting the School to meet its targets for success; Evidence of problem-solving decision making skills; A professional and supportive team player who enjoys effective collaboration with colleagues; Good interpersonal skills, both verbal and written; Solution base mindset. 

*Desirable- experience with use of Unit-e timetable system and/or equivalent software packages and systems regarding timetable construction/ amendments.

GUILDHOUSE SCHOOL, LONDON

Located in Bloomsbury Square in the heart of London, Guildhouse School counts among its neighbours some of the world’s greatest centres of education, art, fashion, and finance.

The school is a co-educational independent day and boarding school catering mainly for international students aged 15+. We specialise in preparing students for university exams, including A Levels and the University Foundation Programme (UFP). We are the only school in Europe to host a Bloomberg Business Lab, complete with Bloomberg Terminals. There are approximately two hundred and thirty students on roll, class size average is nine across all programmes, and students take part in an extensive range of extra and co-curricular activities including leadership awards and national/international competitions.

The school was founded in 2011 under the name of “CATS College London”, joining CATS Cambridge and CATS Canterbury (founded in 1962) and joined by CATS Academy Boston in the US (in 2012). In October 2022 “CATS College London” rebranded to Guildhouse to better represent it's unique geography and educational offering as part of the CGS Global Schools Group.
