Job overview

This part-time position (from 6.30am to 1.30pm weekdays during school term time) reports to the Head of General Studies for High School matters and the Head of Primary for Primary matters, and overall to the College Principal.

Duties include, but are not limited to:

  • organising staff cover using internal and external staffing, often with minimal notice
  • processing all components of casual staffing
  • setting up "cover" work package and timetables for Casuals, ready for when they arrive in the morning
  • management of the daily organisation of the school using College's student and learning management system (LMS Edumate and Edval)
  • monitor and coordinate the booking system for school laptops, their use in the school and re-charging and storage
  • creation of reports for Payroll detailing staff ‘away’ periods and casual wages
  • recording and reporting all staff leave to payroll
  • in relation to Academic Reports for Years K-12, liaise with High School and Primary Secretaries, as required
  • data entry for all academic and behaviour outcomes into Academic Reports
  • setting up, monitoring and communication of all exam rosters and duties
  • entering all excursions, events, special meetings in congruence with School Planner / Calendar
  • process room bookings for events and meetings
  • assist with coordination of electronic bookings for parent-teacher evenings, in conjunction with Primary and High School Secretaries
  • technical / administrative assistance to Senior Management Team, as required
  • administration and setting up of daily teachers' duties (playground, before school, after school, etc.)
  • preparation and distribution of daily Absence Reports for Heads and Secretaries
  • general administrative tasks from time to time.

The position would suit a "switched on", multi-tasker with excellent time management, communication and problem-solving skills, who can liaise with students, staff and management in a timely and professional manner, particularly in situations of conflicting priorities.
