This role is term time only, 38 weeks plus an additional three weeks including lead up to and after public examinations in August. Holiday entitlement is for 6 ½ weeks including Bank Holidays.
Role purpose:
The Examinations Officer co-ordinates and administers all public examinations undertaken by pupils at Beech Lodge. The Examinations Officer is responsible to and under the immediate management of the Assistant Headteacher for the effective, smooth running of pupils’ examinations, including mock examinations, and co-ordination of subsequent academic results.
Principal areas of responsibility:
Examination Entry:
- Co-ordinate and administer the entry of all pupils’ external examination/accreditation modules, including GCSE, BTEC, AQA Unit Award Scheme.
- Agree pupils’ correct tiers/levels of entry, when required, with appropriate staff.
- Inform staff and candidates of regulations concerning coursework and exams.
- Co-ordinate and administer the submission of pupils’ coursework or controlled assessment associated with the above examinations by the deadlines as agreed by the examination boards.
- Co-ordinate and administer appeals, reviews and paper recalls in collaboration with parents, pupils, relevant staff and awarding bodies, by the agreed published deadlines.
- Ensure that the Access Arrangements for all eligible pupils are in place, communicated and understood by all pupils and disseminated to parents/carers.
- Ensure that all Examination Policies are updated Annually in the Autumn Term and as when required following any directives from Examination Boards.
Examinations Administration:
- Co-ordinate the receipt, logging and secure storage of all examination materials, and the delivery of completed scripts in collaboration with the Administration team.
- Manage all aspects of conducting mocks and examinations, including the preparation of seating plans, completion of attendance registers, resolving timetable clashes, fulfilling access arrangements and applying for Special Consideration in liaison with SENDCO; IT Manager and site staff.
Invigilation:
- Co-ordinate the invigilation of all public examinations taken by pupils at Beech Lodge in collaboration with Phase Lead and Assistant Headteacher.
- Provide support in recruiting new Invigilators and oversee their induction and on-going training.
- Co-ordinate the appropriate accommodation and resources needed for examination periods in collaboration with the Phase Lead and Assistant Headteacher.
Co-ordination of Results:
- Download pupils’ results, co-ordinate pupils’ statements of results prior to publishing public examinations results in August.
- Be present and assist with the publication of results and the administration of subsequent appeals during the results period in August.
Personal Development:
The Examinations Officer will keep up to date with curriculum and examinations development and will advise the Assistant Headteacher as to recommended improvements, amendments or trends as and when necessary. The Examinations Officer
therefore has a responsibility for their own personal development and will make full use of advisory services and in-service training, sharing knowledge and expertise with others.
Personal specification:
- We are looking for a candidate who already has experience working in/with Exams.
- The role demands an attention to detail of the highest order, together with an ability to remain outwardly calm whilst working under considerable pressure.
- To want to be fully in involved in school life and must want to know and understand the pupils as individuals and have a calm, encouraging and positive outlook.
- Excellent ICT skills are required for this role. Fluency in Microsoft Office is essential.
- Understand the principles of Data Protection, record keeping and filing.
- Excellent Organisation Skills with a systematic approach to workload management.
- Confidentiality of information as appropriate.
- Ability to hold sessions with Year 10 and above to explain NEA regulations and exam procedure.
- Ability to write/update exam policies required for JCQ Inspection.

At Beech Lodge we provide an innovative and nurturing approach to education for those children who require an individually tailored learning environment to reach their academic potential, build social and life skills, have access to therapeutic and specialist interventions and above all the educational tools with which to flourish.
