Job overview

The Aquila School is looking for an Exams and admin officer to join our admin team to support the day to day running of the school in a variety of ways including the administration of some examinations.

Core purposes:

  • To organise some aspects of external examinations
  • To support the leadership of the school in collecting and analysing a range of assessment data
  • To undertake roles such as support with careers education and wider opportunities for pupils 
  • To support the day to day running of the school in a range of roles 

Key duties include:

  • Setting up all KHDA and ISP assessments including CAT4, progress tests, TIMSS, PISA, PASS, ISA
  • Establishing relationships with chosen exam boards and managing to the process for registering and implementing their external examination requirements 
  • Liaising with families and finance to ensure accurate and timely accounting for external examinations 
  • Collecting, collating and distributing exam results as required 
  • Managing the implementation of external examinations in school including staffing, timetabling, receipt storage and distribution of exam materials
  • Liaising with the leadership of the school and the “qualified person” to ensure that maximum use is made of permissible, reasonable adjustments 
  • Training staff on invigilation processes 
  • Managing the school Mini Duke, Duke of Edinburgh and all ISP central activities for pupils including MUN, ISP film festival etc 
  • Organise all aspects of trips, visits and visitors.
  • Supporting with communications to families 
  • Supporting the maintenance of school databases/assessment tracking systems 
  • Until the appointment of a university careers advisor- Coordinate and manage any associated platforms or accounts, such as but not limited to: UCAS, UniFrog, Myers-Briggs or Morrisby. Liaise with and coordinate visits/sessions with Universities/Employers/Providers (e.g. IDL) for on/off site visits. Cultivate partnerships with companies in different sectors within Dubai for Work Experience. Coordinate Work Experience programmes

In addition, all staff are required to carry out any tasks required by the school or the regional office to facilitate the smooth day to day running of the school

To be line managed by the Head of secondary

Hours of work- 7.15am-3.45pm Sunday to Thursday.  However, during external exam times- evening and Friday work will be expected with appropriate time off in lieu. 

Holidays- 30 days per calendar year (this can never be taken during an exam or results period) 


Person specification 

Essential

  • Excellent command of written and spoken English 
  • Ability to work independently, paying meticulous attention to accuracy and detail
  • High proficiency in using Excel and the ability to quickly learn to use a range of other platforms  
  • Excellent organisation skills 
  • Ability to relate to colleagues, pupils, families and external organisations 
  • Ability to meet the unusual seasonal timings of this role

Desirable

  • Experience of working in a school
  • Experience of working in a similar role 
  • Experience of working with Pearson, Cambridge and Edexel
  • Experience of administering BTec

About The Aquila School

The Aquila School opened in September 2018 and serves as an international school with an affordable fee structure offering a high-quality education in Dubai. The school offers the National Curriculum for England & Wales adapted to meet the needs of our global community. At present we have pupils from FS1 to Y8 - year nines will join us in August 2021

We are a happy community school. Staff work hard to ensure our children love school, love learning and make as much progress as possible.

As we grow, we will offer a wide range of I GCSE options which provide breadth and balance in terms of arts, science and practical subjects. In the sixth form we will offer both IB and BTec qualifications.
