Executive Assistant to the Principal and Senior Leadership Administrator

 Required for a February start.

This post is Full Time. 

42 days annual leave to be taken in periods of school closure

Opportunity for flexible working during school holidays, (at the discretion of the Principal). 

Actual salary range, dependent on relevant experience/skills;

£40,000 to £45,000

We are looking to appoint a highly motivated, articulate and dynamic individual to this key role. The role requires an exceptional standard of secretarial, clerical and administrative support to the Principal, ensuring the efficient and effective running of his office and with all aspects of his daily workload.

The successful candidate will play a key part in the running of the College. As the Principal’s gatekeeper, you will provide, when required, clerical support and direction to the Senior Leadership Team. You will also be the Senior Leader with the responsibility of Administration function of the College.

You will have a proven record of accomplishment, working as a PA/Administrator to senior management in a busy/challenging school or corporate environment. 

Main Duties and responsibilities:

• A full and confidential Executive Assistant service to the Principal.

• Maintaining the complex diary management of the Principal and ensuring coordination with other Senior Leaders and stakeholders.

• Acting as the Principals first point of contact in communicating with all stakeholders

• Preparing and Proof reading all relevant correspondence and documents

• Arranging and prioritising appointments and meetings on behalf of the Principal.

• Ensure the Principal is fully briefed and provided with the relevant correspondence for all meetings.

• Supporting HR administration at the College

• Attend meetings/school events out of the normal school day.

• Ensure smooth communications with the Governing Body and establish a strong working relationship with the Clerk

• Co-ordinate the agenda for weekly SLT meetings, attend the meetings take minutes and distribute accordingly

• Ensure absolute confidentiality and discretion at all times. 

• Empathy, Diplomacy and Discretion with the ability to respond to the needs of our students and their families

• A shared passion in providing the best educational opportunities for all our students in a safe and caring environment

• An ability to work under pressure whilst remaining calm and controlled

• Energy, enthusiasm and an excellent work ethic with the desire to go above and beyond 

• Excellent communication skills both written and verbal with the ability to convey information clearly.

• Excellent administrative skills and a high degree of IT literacy

• Communication / liaison with all our stakeholders, external agencies and the wider community 

The person applying should have:

• Excellent organisational skills, people skills and communication skills

• The ability to empathise and understand young people 

• Be able to collect and record information from a wide range of databases and various IT packages, students and parents

• Be able to coordinate website updates and managing social media accounts

• The ability to work effectively under pressure, prioritise work and multi-task

• Excellent ICT skills, with experience of a range of Microsoft packages and Google workplace.

• Experience of Bromcom MIS preferable , if no experience an ability to pick up the skills necessary to use effectively the Colleges MIS system  

• The ability to both work as part of a team and independently and make decisions on behalf of the Principal.

Values and vision

The Catholic faith is fundamental to Bonus Pastor Catholic College’s work. The school day begins with an act of worship, either in tutor groups or in year group and house assemblies. Prayer time in tutor groups is often organised and led by the students themselves, and all these times of prayer are related to the school’s "theme of the week".

The secondary school’s lay Chaplain is available to meet with students on a one-to-one basis, and provides additional pastoral support for all members of the school. Bonus Pastor Catholic College is proud of the fact that British values are at the heart of its ethos. Areas in which these values are expounded and embedded include citizenship days, the curriculum, the house system, house assemblies, and links with other institutions.
