Key Accountabilities and Responsibilities


1. To provide secretarial and administrative support to the Faculty Head, Deputy Faculty Head, Heads of School and Faculty Administration Manager as required.


2. To maintain the diary and schedules of appointments for the Faculty Head and Deputy Faculty Head where required.  This is to include the maintenance of the overall faculty meeting schedule.


3. To support the Faculty Administration Manager with the effective provision of faculty information to SLT, MIS and other areas within the college as required.


4. To support the Faculty Administration Manager with College Data functions relating to the faculty to include, but not restricted to, timetabling, register amendments and the validation of the information recorded. To liaise with external and internal customers and suppliers and outside agencies.


5. To maintain administrative, financial and technical records as required.


6. To prepare documents as required using Microsoft Word, Excel, Power Point, and Access applications and databases.


7. To take minutes when necessary and to attend meetings as required by Faculty Management.


8. To assist with the organization of and support with open day/evenings, Learner Voice conferences/meetings and student award ceremonies.


9. To raise purchase requisitions, maintain financial records of invoice and expenditure across the Faculty for each school as required.


10. To maintain confidential /personal filing systems as required.


11. Monitor action points from meetings requiring attention by curriculum staff and ensure these are followed up and actioned where appropriate.


12. To assist with general queries and the reception of students, staff and visitors to the Faculty.


13. To ensure deadlines are met in accordance with agreed action plans and instructions.


14. To disseminate information to Faculty staff as required.


15. To deal with incoming/outgoing post, internal and external. 


Other Duties and Responsibilities


a) Comply with internal and external quality standards and contribute to the College’s strategic aims.


b) Comply with college policies and procedures and health and safety regulations.


c) Support the safeguarding and promotion of students’ welfare.


d) Maintain confidentiality in relation to all College information and to comply with Data Protection Legislation.


e) Participate in the College’s Appraisal scheme and undertake any training as required.


f) Support and actively participate in the implementation of the College’s Equal Opportunity policies
