Notre Dame is an outstanding independent school in Cobham set within 26 acres of beautifully landscaped grounds and gardens, surrounded by surrey parkland.  An exciting opportunity has arisen for a strong candidate to join the Finance department as the Fees and Bursary Officer.

The role will support the Finance Manager in all aspects of financial administration of Notre Dame school with primarily responsibility for all fee income and sales ledger transactions with the Billing and Sales Ledgers and is the main point of contract for parents.

The main duties and responsibilities are:

Billing Ledger

• Managing the administration and maintenance of the Billing and Sales Ledger, including posting of fees and extra charges, the preparation and production of fees invoices to parents and recording appropriate changes to billing.

• Ensure accurate processing of receipts from parents by cheque, bank transfers and nursery income and posting to appropriate billing account, ensuring items in the ledger are matched and outstanding balances dealt with accordingly.

Cash Management and reporting

• Manage the process and allocation of direct debit collections re school fee payments on a monthly and termly basis in the PASS system.

• Follow up with parents on unpaid direct debits and deal with accordingly.

• Maintain direct debits, new, cancelled and amendments, with a view to moving to AUDDIS.

Sales Ledger

• Raise Sales Ledger invoices for wider school activities (facility hire, hospitality events etc)

• Credit control - monitor timely payment of Sales debtors and issue late payment reminders and follow up communications via email and telephone.

Bursaries

• Oversee the annual Bursary process and assist families in applying or renewing a bursary award

• Oversee their submission to the external assessor, to ensure deadlines are met for reports to be received and then assessed by the school’s Bursary Committee to enable timely responses to be made to applicants.

The Ideal Candidate has:

• A minimum of 3 years’ experience of working independently as a finance officer in a busy environment

• Excellent ICT skills including work processing, spread sheets, data bases and publishing software in MS Office, Excel, Word and Outlook

• High level of oral and written communication skills with a proactive approach to customer service

• Diplomatic skills and confidentiality
