Surbiton High School seeks an enthusiastic and outstanding candidate to join our Finance Department.


Job Purpose: To support the Finance Team by providing efficient financial and clerical assistance 


Tenure: Permanent, Full-time (52 weeks) – 37.5 hours per week, 8:00am – 4:00pm Scope to work from home up to 2 days per week once established in the role


Key Responsibilities:


Financial Administration:

  • To assist the Head of Finance in preparing all financial returns for United Learning as required, in accordance with agreed timescales
  • To maintain departmental budget expenditure records and distribution to budget holders on a monthly basis
  • To process purchase invoices and assist with the upload of the bi-monthly supplier payrun lists to head Office
  • To help train members of staff on the use of the Access accounts system for Purchase Requisitions and Expense Claims
  • To liaise with Head Office Access Support to request the addition of new suppliers / new users
  • To maintain the accounts filing system, suitable for audit purposes
  • To assist the Head of Finance with the billing of extra charges to parents
  • To reconcile monthly School Credit Card Statements
  • To post various month end journals
  • To be responsible for Amazon Business Account transactions
  • To raise sales invoices, as requested by the Head of Finance on an ad-hoc basis
  • To maintain a list of current prepayments
  • To be responsible for the administration of Allstar Cards
  • To perform Termly Recharge Account Reconciliations
  • To assist the Finance Department with the daily post in and out
  • To bank cash / cheques on a weekly basis
  • To assist with the School’s petty cash and recording monies collected for charities
  • To assist the Head of Finance in ensuring that Radio, TV and other School licenses and all Copyrights are kept up to date
  • To assist parents and suppliers with queries
  • To carry out any such duties as may be reasonably required

 

Lettings Administration:


  • To manage the letting of premises with all the associated processes, including:
  • To act as primary point of contact for general inquiries via email and telephone, responding in a timely manner
  • To maintain the online Booking System (SchoolHire)
    • Add / Remove / Modify Facilities and Customers
    • Add Term Dates / Holidays annually
    • Update Pricing per Facility / Special Discounts for Customers
    • Create / Modify / Accept Customer Booking requests
    • Cancel / Refund Bookings when required
    • Create Internal Bookings for School Events
  • To schedule weekly meetings with the Caretaking Team to discuss upcoming events and resolve any issues
  • To process invoices on the Finance System for Offline Payments
    • Chase late payments
  • To ensure the Surbiton High School Lettings Agreement is up to date
  • To post Month End Journal for Lettings income received
  • To prepare Reports for Management on request


The successful candidate will be likely to fit the following profile:


Qualifications:

  • Good First Degree (or equivalent professional experience)
  • Relevant Financial Qualification (or equivalent professional experience)

 

Experience:

  • Record of excellent personal success in a financial or related role
  • Evidence of challenging and supporting colleagues to improve performance
  • Record of developing and sustaining positive working relationships

 

Skills and Abilities:

  • High levels of personal and professional organisation, integrity, discretion and confidentiality
  • Impressive personal presence and presentation with high degrees of self-confidence, personal energy and dynamism
  • Personal warmth to engage positively and gain confidence of pupils, staff and parents
  • Sound judgement and the ability to take difficult decisions to resolve issues, especially when under pressure
  • Ability to communicate concisely and sensitively both orally and in writing to a variety of audiences
  • Commitment to the use of current and emerging technologies to enhance the educational offering and administration of the School
  • A passion for excellence and a commitment to the ongoing development and implementation of the school’s vision
