We are seeking to appoint a highly motivated and enthusiastic Finance & Personnel Assistant to join Rise Park Academy Trust’s business administration team.

Required September 2017
Hours: 32.5 hours per week, 40 weeks per year
Salary: APTC 3-4 Points 14-21 (dependent upon experience)

The Finance & Personnel Assistant will work under the guidance of the Finance & Personnel Manager but will report directly to the School Business Manager.

The Finance & Personnel function is part of the overall business administration team.  As such, the job holder will be required to support other administrative team members in times of need as directed by the School Business Manager or Executive Head Teacher.

The business administration team is responsible for making sure that the efficient and effective organisation and administration of school processes, procedures and policies delivers the best possible service to all stakeholders.
The Finance & Personnel Assistant is often a first point of contact and is, therefore, expected to demonstrate exemplary customer service to both internal and external customers and be able to resolve problems and complaints in a sensitive manner.

Roles and responsibilities

  1. To operate the computerised personnel, payroll and financial information systems of the school for financial monitoring and data processing
  2. To receive, record, and process incoming payments using the relevant financial systems of the Academy
  3. To collect debts and payments due by monitoring records, making requests and following up and taking action on responses
  4. To coordinate and collate supplies, stock and ordering for Academy resources.
  5. To process documents relating to goods and services ordered and received and to make and record payments
  6. To use spreadsheet software to support the budgeting and accounting needs of the Academy
  7. To support other members of the school staff in the operation of the Academy financial systems and procedures
  8. To support teachers with administration, organisation and the provision and arrangement of resources.
  9. To communicate with people in person, on the telephone and using email to:
    - respond to queries and resolve problems and complaints
    - provide information and services to customer requirements
    - take and record messages (using the Academy systems)
  10. To use the Academy reprographics systems to copy and distribute complex and multiple documents.
  11. To use word processing software to prepare, layout, print and dispatch documents including: letters, memos, committee reports and papers
  12. To contribute to the organisation and arrangement of events – which may include (but not exclusively) training courses, meetings of the governors, lettings and other community use of the site, facilities and premises.
  13. To use computerised management information systems and/or paper based filing systems to enter, record and retrieve data, supply information to support business administration and organisation and make returns required by a variety of sources
  14. In the absence of other qualified staff, administering required first aid.
  15. To work in accordance with the values, culture, ethos, equalities and inclusion policies of the Academy proactively promoting anti-racist, anti-sexist and anti-discriminatory behaviours in the day-to-day operation of the job.
  16. To take appropriate action to identify, evaluate and minimise any risks to health, safety and security in the immediate working environment.
  17. To complete school based induction and any subsequent training required to improve performance.
  18. To take part in the school performance management system.

This means that the postholder may be expected to carry out work that it not specified in the job profile but which is within the remit of the duties and responsibilities.
  2. Staff in schools work subject to statute and many policies and procedures. The postholder will be expected to become familiar with these and work in accordance with them.
  3. This is a new job profile for a new post. It will be subject to review with the postholder after one year and may then be reviewed from time to time
