An opportunity has arisen for a Finance Officer to work for St. Anthony’s School for Boys and its sister school, St. Anthony’s School for Girls. Both are independent preparatory schools based in Hampstead and are part of the Alpha Plus Group, one of the largest privately-owned school groups in the UK owning 20 schools and colleges including some of London’s finest Prep and Pre-Prep schools.

The ideal candidate will be reliable, honest, flexible and trustworthy and able to work in a busy environment with adults and children alike. Proficiency in English, both spoken and written, is essential as is good knowledge of office software packages. Previous financial administration experience is essential and knowledge of SIMS and working in the education sector is desirable.

The role is term time only based on 39 weeks per year.

Main duties and responsibilities:

Invoice Preparation and Credit Control

  • Manage and update all fee payer detail and fee payer data using the School Information Management System (SIMS)
  • Termly billing run
  • Managing deposits and registration fees
  • Process advanced fees
  • Responding to queries from parents and fee payers
  • Producing monthly Aged Debtor reports
  • Credit Control
  • Assisting with the collation of information for referral to debt collecting agency
  • Posting receipts to SIMS

 Managing direct debit payment system on a day-to-day basis

  • Sending direct debit mandates to parents for completion and return, checking paperwork before it is sent to the bank
  • Acting on all BACS rejects

Purchase Ledger

  • Preparation of supplier invoices for authorisation
  • Recording costs on budget sheets
  • Liaising with suppliers on outstanding invoices
  • Managing the School’s Amazon Business Account
  • Purchasing items on line using the school credit card and completing the monthly reconciliation

 Parentpay

  • Setting up trips and other events on Parentpay and ensuring monies are paid
  • Managing the administration of the Parentpay database
  • Reconciling the school’s charitable fundraising

 Cheque Requisitions

  • Raising cheque requisitions and submitting to Head Office

Bank Reconciliations

  • Completing monthly bank reconciliation and submitting to Head Office

Banking and Cash Management

  • Day-to-day banking of cheques and cash

Cost Control

  • Assisting the Head to ensure school operating costs are contained within authorised budgets, particularly with regard to departmental budgets

 Petty Cash

  • Maintaining and reconciling petty cash

This list is not exhaustive and the essence of the job is to be accommodating and flexible at all times, as such the Finance Officer may be asked to carry out duties other than those listed as deemed reasonable by the Head and the Financial Controller at Head Office.

About St Anthony's School for Boys

Brief History

St Anthony’s is a Catholic Preparatory School (IAPS) for boys aged 4 – 13. It is Roman Catholic but welcomes boys of other faiths. There are currently over 310 pupils on roll and the school is looking to increase this number to 330 over the next few years. The majority of boys transfer to leading Independent schools.

St. Anthony’s school was founded by Richard Patton during the Victorian period in Eastbourne. It moved to its Hampstead location in 1952 and has been managed by the Alpha Plus Group since 2009.

Ethos and values

The school operates a two-form entry with approximately 20 boys in each class from Reception up to and including Year 6. About half the year group leave St Anthony’s to join Year 7 senior schools including UCS, City of London and Highgate. The remaining pupils stay on to prepare for Common Entrance at the end of Year 8 before proceeding to leading boarding and day schools such as Harrow, Eton, St Paul’s and Westminster.

The school is not super-selective and promotes a caring, nurturing environment promoting the holistic education of each child. We speak of St Anthony’s as a greenhouse rather than a hothouse! Pastoral and academic expectations are high amongst parents and staff. The school adds significant value to pupils’ learning and there is great emphasis on regular communication between boys, staff and pupils.

St Anthony’s achieved ‘Excellent’ in all categories of the ISI full-school inspection in November 2019 - the school is now pursuing an ambitious development plan incorporating digital literacy with outstanding academic, pastoral and co-curricular provision.
