The School is seeking to appoint an HR Technician. The post-holder will be responsible for the provision of a professional and efficient HR service to the School and that all of the school HR policies and procedures are being followed effectively. 

 

The role, which is being offered as a full-time position, will involve collaboration with many other staff. The responsibilities will vary from time to time as the needs of the School determine. Duties of the role will include, but will not be restricted to: 

 

Main duties and responsibilities            

HR Operations & Projects

- Work with the HR Director to ensure all HR policies and procedures are up to date and ensure any changes are well managed and communicated to senior managers and staff when required.

- To undertake HR projects and produce management reports as directed by the HR Director. 

- To work with colleagues in HR to ensure a high quality, efficient and timely service is provided to all internal and external customers

- To provide clear and straightforward generalist HR advice to all staff.

- To provide HR support to line managers on staff disciplinary, capability and development matters, dealing with the complexities of employee relations issues in a confident, legally compliant and professional way. 

- Actively drive continuous improvement of the HR service, identifying areas for improvement and driving and delivering improvement initiatives.

- Oversee and facilitate the smooth running of the HR administration function, such as internal communication, training programs, recording staff attendance, professional development process tools and reports…

- To ensure the timely and accurate recording of sickness absence, issuing of returning to work interview forms and recording of their return, correspondence in relation to sick pay entitlements, recording of special leave. Work with all staff to understand and implement policies and procedures to provide guidance and support for managing attendance.

- To keep the HR pages of the School web, media and social networks up to date.

- To assist with other ad hoc generalist HR administration as requested, including responding to external requests for employee references 

- To manage the training / internship student and all matters relating to apprenticeships.

 

Recruitment

To support recruitment and selection activity, including: 

- Manage staff recruitment vacancies across all the School (teaching and non-teaching staff, extracurricular activities, summer camps, winter and summer programmes…), from vacancy identification to completion of the process, ensuring best practice and legal compliance. To keep up to date with recruitment best practice and all School policies relating to staff.

- Writing and reviewing job descriptions and person specifications.

- Creation and posting of attractive job advertisements across a range of external online sites.

- Candidate screening to include collation of job applications for shortlisting, arranging interview schedules and managing the interview process ensuring compliance at all stages of the recruitment process.

- Supporting the running of interview assessment weeks/days, preparing interview packs and ensuring candidates receive an excellent experience.

- To manage and be part of the interviews and the candidate’s assessment process. Make the final decision jointly with Line Manager and Senior Management.

- To produce offer letters and contracts for successful applicants following completion of the recruitment process.

- To coordinate pre-employment checks including personal documentation, requesting references, facilitating DBS checks, collating evidence of eligibility to work and qualifications and ensuring all information is recorded on the School Central Record.

- To create electronic files for all new members of staff and ensure that relevant documentation is stored and saved appropriately throughout an individual’s ongoing employment.

- To support the coordination of the school induction procedure, including compiling induction packs and inviting attendees. Organising induction and welcome programmes for all new staff, and ensuring that these are fully implemented and recorded. 

- To create and maintain accurate HR database (candidates/staff).

- To manage for the monitoring of the HR email inbox and Recruitment email inbox. 

- Advising and managing letters of appointment, manage the required documentation for issuing contracts of employment, collation and submission of all associated payroll paperwork is submitted to our provider and providing any associated documentation during the employment lifecycle of a member of staff in consultation with the HR Manager.

- Be a point of contact for suppliers of contracted staff at the school to ensure the correct procedures safeguarding checks have been carried out.

 The post holder may be required to perform duties other than those given in the job description for the post. 

 

Essential skills and qualifications

- Educated to degree level or equivalent qualification or relevant experience (Psychology or Labour Relations degrees, for example will be considered)

- Experience in a foreign country. Having lived on a different continent will be highly considered.

- Fluent in English and Spanish. Catalan, Chinese and other languages will be an advantage.

- Experience of working in a generalist advisory HR role (including all aspects of recruitment).

- Evidence of continuous professional development in the area of HR.

- Up to date knowledge of employment local legislation and its practical application.

- Diplomatic, approachable and able to build strong working relationships at all levels.

- Pro-active, organised and excellent attention to detail.

- The ability to work with discretion at all times.

- An ability to work both independently and as part of a team.

- Excellent verbal and written communication skills and strong IT skills.

- Organised, good time management with the ability to work under pressure and prioritise as necessary.

- A “can-do” attitude and the willingness to “muck in” when the team is under pressure.

- Experience of providing excellent customer service.

- Previous experience of working in a school and / or knowledge of HR in schools will be considered.


Hours of work

Full-time, Monday to Friday. The position covers maternity leave .

 Salary

 Salary negotiable and dependent on experience.

Socrates Educa International School Salou is an international school in southern Catalonia which opened in 2012.
