The Role

As Office Manager and PA to the Principal, you will play a key role in ensuring the administrative functions of the Academy run efficiently and that the Principal is able to carry out their responsibilities effectively. You will manage all administrative staff, systems and processes.

Key Responsibilities

Management

• Line manage a team of reception and administrative staff to ensure an effective and efficient support service

• Take a lead role in planning, developing and monitoring operational systems, procedures and policies

• To hold regular line management and team meetings

• To monitor and balance the workload of the admin team

• To work closely with other heads of department and school leaders to manage change and ensure a consistency of approach across the academy

• Monitor, manage and cover staff absence

• To maintain team morale and wellbeing

• Support the data manager with school census returns

• Role model expectations and provide training and development to staff

School Operations

• Manage the health, safety and welfare of staff and other people on school premises as directed by the Principal/Operations Director

• Be responsible for first aid cover, training and maintaining records 

• Maintain stock of stationery and other necessary supplies

• Take responsibility for the school’s social media presence, liaising with website managers, to ensure and maintain the excellent appearance and accurate/up-to-date content of the school website

Administration and PA

• Maintaining efficient and effective systems for filing and organising correspondence, ensuring discretion and respecting confidentiality

• Responsibility for exclusion documentation paperwork and paperwork for governing body meetings 

• Produce letters, documents and reports as necessary

• Deal with internal and external enquiries

• Managing the principal’s diary, appointments and coordinate meetings, taking minutes as required.

• Communicate and liaise with staff, students, parents, governors, Ark Schools staff, members of the local community and other external parties as appropriate

Other

• Actively promote the safety and welfare of our children and young people 

• Ensure compliance with Arks data protection rules and procedures

• Liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy

• Work with Ark Central and other academies in the Ark network, to establish good practice throughout the network, offering support where required

Curriculum
