Job Description: PA to Academy Leadership Team

Reporting to: Aspiring School Business Manager/PA to VP 

Start date: ASAP 

Contract: Permanent (Term Time Only + 2 Weeks) 

Salary: Grade 5 (£22,800 – £26,298) this will be prorated based on working weeks

Hours: 8am until 5pm 

The Role 

As the Personal Assistant to the Academy’s Leadership team, you will play a crucial role in ensuring that the members of ALT are best equipped to lead Globe Academy. In this role, you will assist with ALT top priorities by providing key administrative support, strategically managing their diaries and being involved in a wide range of other projects. 

Key Responsibilities 

PA Support - Support ALT in a full administrative capacity, including: 

• Maintaining efficient and effective systems for filing and organising correspondence, ensuring discretion and respecting confidentiality 

• Managing ALT diaries and appointments 

• Producing correspondence and reports, sometimes of a confidential nature 

• Dealing with all phone calls and personal enquiries efficiently and professionally 

• Arranging and assisting with various meetings as requested, including booking rooms, providing refreshments, preparation of materials and minute taking, in order to ensure their timeliness and smooth-running 

• Assisting with data management and reporting and creation of documents, including MS packages ie Word, PowerPoint, Excel, Publisher

• Meet and greet visitors, displaying due courtesy and tact, to ensure that visitors are welcomed into a friendly and professional environment and registered on InVentry visitor system

• Proactively seek opportunity in finding ways to support the ALT to fulfil their roles 

• Embed a robust system to ensure required documentation is completed on time i.e. post, purchase orders  

• Ensuring learning environment audits are carried out and reported on a termly basis

• Maintain ALT office notice boards keeping them fresh and GDPR compliant

General Administrative Support 

• Communicate and liaise with a variety of stakeholders as appropriate 

• Organise the administrative elements of key events and visits in the academy calendar including coordinating and planning for all practical arrangements 

• Ensure the working environment is to a professional standard e.g. clear desk policy 

• Carry out any other special duties or work outside normal routine but within the overall scope of the department

• Provide cover and support in areas across the Business Support Team when required i.e. Student Services, Reception 

• Ensuring smooth running of the department on a day to day basis with effective communication between all staff members 

• Environment audit support

• Collation of parent questionnaires responses and analysis of results 

Other 

• Carry out other reasonable tasks as directed by members of ALT and your LM

• To carry out first aid duties, if required 

• To undertake fire marshal duties, if required 

• To undertake exam invigilation duties, if required 

• To undertake morning and afternoon playground duties, if required

• To be willing to undertake appropriate training in line with contractual duties 

• To be flexible in regards to working hours 

• Attend and support out of hours’ academy events e.g. summer fair, parents’ evenings

Person Specification: PA to Academy Leadership Team

Qualification Criteria 

• Right to work in UK 

• Maths and English to grade C GCSE or equivalent

• NVQ L3 equivalent

Knowledge, Skills and Experience 

• Experience providing PA or secretarial support to staff at a senior level 

• Experience of running effective administrative processes, preferably in a school environment 

• Excellent organisation and time-management skills 

• Excellent communication skills 

• High level of proficiency with Microsoft Packages i.e. Word, Excel, PowerPoint, Publisher 

• Able to build relationships across a range of stakeholders and anticipate the needs of others 

• Able to manage several projects at once, prioritising accordingly to meet deadlines 

• Able to take ownership of tasks and work with minimal supervision

About Ark Globe Academy

In 2008 Geoffrey Chaucer Secondary and Joseph Lancaster Primary school merged to join the Ark network as Ark Globe Academy. Ark Globe Academy is a mixed all through school with student age ranging from 3-18.

At Ark Globe Academy we have the highest aspirations for all our children to ensure they are prepared for university and inspired to be leaders in their community. We offer our students a first-class education based on high quality teaching and experiences outside of the classroom.

Our school was recognised by the Government in its Parliamentary Review as an example of good practice in education and students make excellent progress at KS4. All our sixth form students received a university offer with 73% of those being a top 3rd university.

Ark Globe Sixth Form is in the top 2% of all sixth forms in the country and has received the Sixth Form of the Year award at the Ark Education Summit 2019.

School Structure

Ark Globe Academy is divided into four small schools Elbrus, McKinley, Kilimanjaro and Everest, also each small school has a Dean. This ensures that personal relationships between pupils and staff develop quickly, and that a culture of excellent behaviour and shared social norms are easier to maintain.
