PA to the Headmistress  Primary role:   The Headmistress’s PA provides timely, professional, and confidential support to the Headmistress.  One of the Headmistress’s PA’s main objectives is to work closely on routine administration and projects to support the smooth running of the School.  This allows the Headmistress to maximise her time on strategic development, and purposeful interaction with staff, students, parents and other key people and agencies associated with the School. Discretion, hospitality, and gracious communications are key in this role.   

Principal Duties: 

  • Manage the  working diary and respond to general correspondence on behalf of the Headmistress with an approach that furthers the Mission of the School.  

• Act as a liaison with members of the Board of Governors, Senior Leadership and Management Teams to arrange consistent communication, regular meetings and prepare of minutes from their meetings. 

 • Coordinate with the Admissions Director to schedule the visit of prospective students/parents for interviews and meetings that promote the enrolment of the School. 

  • Coordinate with the Director of Development to maintain and foster Alumnae relations, correspondence, and general fundraising duties of the Headmistress. 

 • Ensure the efficient maintenance of the Centralised Register of Evidence all relevant DBS and other checks through liaison with the Bursar’s office. 

  • Maintain the HR files and updating HR records. Place recruitment advertisements with agencies and on-line sources. 

 • Organize meetings, produce agendas and write minutes as needed.  

• Research and compile notes and briefing documentation for the Headmistress’s meetings and assignments.  

 • Assist the Headmistress with special functions and arrange catering, especially as they relate to the Board of Governors, Global Network of RSHM Schools, and GSA events.

  • Arrange and coordinate the Graduation Ceremony and Ball  

• Maintain the Headmistress’ membership with various associations and organisations and arrange attendance at meetings 

 • Arrange attendance at conferences for the Headmistress and the Senior Management Team and organise travel 

 • Co-ordinate Headmistress’s diary and travel arrangements, including overseas trips.

  • Ad hoc duties as required    Skills and Qualities:   

• High level of planning and organisational skills with an attention for detail

 • Excellent command of language and grammar in written work 

• Works well under pressure and is able to prioritise tasks 

• Articulate, confident communicator able to resolve issues in a calm and professional manner 

• Reliable with the desire to maintain high standards of professionalism 

• High level of confidentiality, trust, and diplomacy

 • Sense of humour 

• Adaptable, flexible and a proactive problem solver

 • Candidates should be advanced users of Microsoft Office applications and have ability on WordPress, MailChimp, and other Social Media platforms. 

• Experience of working in a school environment would be an advantage though not essential
