Dubai British School Emirates Hills are therefore thrilled to commence the search for a Procurement Assistant (DBS EH Islands Campus) to join our thriving school, set in the heart of the Springs Community, in Dubai.

DBS Emirates Hills Curriculum 

Our curriculum is modelled on the National Curriculum for England and adapted to our own international context, leading to a challenging set of GCSE, BTEC and GCE A Level courses from Year 10 to Year 13. We feel the opportunities that students enjoy outside the classroom are just as important as the main curriculum and we offer an extensive and varied Extra-Curricular Activities (ECA) programme. 

Key Accountabilities: 

  • Vendor Management - Responsible for maintaining and tracking all vendor-related documentation, including but not limited to vendor trade licenses, VAT certificates, and all legal compliance records. Ensuring that updated documentation related to all vendors is always available.  
  • Responsible for registration of new vendors in company’s ERP tool in line with company policy. · Responsible for maintenance and tracking of the Group Contract Registry database to ensure all vendor related contracts are timely renewed and their contractual documentation are saved in assigned folders.  
  • Responsible for evaluating vendor performance through a structured vendor scoring system, that includes the monitoring of vendor performances against agreed-upon service levels, delivery timelines, quality standards, and other relevant factors.  
  • Responsible for initiating timely contract renewals for assigned contracts. This involves the preparation and issuance of Tender documents to potential vendors in the market, coordinating with internal stakeholders to clarify specifications and requirements. Thorough analysis and evaluation of bids with recommendations to the Management based on service, cost, quality, and deliverables. 
  • Collaborate with various departments to understand their procurement needs and priorities.  
  • Communicate effectively with internal stakeholders and external suppliers to ensure smooth execution of procurement activities across all schools.  
  • Supports the Operations Manager in providing operational support to one or more business units/service lines.  
  • Supports organizational change initiatives including administration of activities relating to Operations Projects 
  • Ensures departmental compliance with regulatory requirement 
  • Open up resource area each day ensuring it is stocked with necessary resources. 
  • Coordinate the copying, printing and laminating on a daily basis with support from the bus nannies. 
  • Monitor reprographic requirements and monitor stock level setting a reorder level, including toner cartridges. 
  • Support other areas of administration when required 

Person Specification: 

Education: Bachelor's degree or an equivalent higher education qualification is required. 

Experience: 

• Previous experience in Procurement, preferably within an educational or institutional environment. 

• Strong negotiation skills and the ability to cultivate vendor relationships. 

• Familiarity with a wide range of UAE based vendors across various procurement categories. 

• Detail-oriented with excellent analytical skills. 

• Proficient in MS Excel and procurement ERP tools; familiarity with Oracle NetSuite is a plus. 

• Fluent in written and spoken English. 

• Capable of working independently and managing tasks efficiently. 

• Preferred familiarity with procurement regulations and practices in Dubai.
