Job overview

The School is seeking to appoint an enthusiastic and proactive Pupil Achievement Administrator to provide administrative support for the Deputy Headteacher i/c Pastoral & Safeguarding and the wider Pupil Achievement team.

This is a key role within the School’s dedicated team of support staff. We are a friendly, welcoming, hard-working and forward thinking team in an exceptional school successively rated ‘outstanding’ by Ofsted. The successful candidate will be responsible for the following areas:

1. Pupil Attendance: 

  • Administrative tasks associated with the recording, management and monitoring of attendance.
  • Running and managing Truancy Call (the School’s pupil absent and late messaging system).
  • Producing daily unauthorised absence registration reports and missing marks reports.
  • Punctuality detention administration.
  • Updating attendance and punctuality trackers and sending related correspondence home.
  • Managing the banned for lunch list.
  • SIMS absence administration (i.e. pre-marking trips/exams/interventions on SIMS).
  • Creating attendance and punctuality certificates.
  • Responding to authorised absence requests.

2. Academic:

  • The organisation of Academic Review Day (twice a year).
  • The organisation and administration of Year 11 Post-16 references and Records of Achievement.
  • Printing and displaying ‘praise and concern’ on relevant boards.
  • Drafting and sending letters / emails on behalf of the Pupil Achievement team.
  • Administration of the House Point System, including accounting for raffle ticket sales.
  • Co-ordinating the production of pupil planners. 
  • Duty Prefect administration.
  • Production and distribution of materials to support departments, such as photocopying, letters to parents etc. 
  • The administration of Parents’ Evenings.

3. Pastoral & Safeguarding:

  • Minuting safeguarding and RAS meetings, updating related records and associated filing.
  • Administrative support for the detention and referral room system.
  • Production of figures and graphs for analysis for the referral room and exclusions.
  • Producing exclusion letters.
  • Printing, sending and logging praise postcards.
  • Printing of resources for HoY offices.
  • The preparation of booklets such as information evening and tutor handbooks.
  • Updating pupil files as required.
  • Co-ordinating the transfer of pupil folders to relevant HoY offices at the end of the academic year.

PERSON SPECIFICATION - WHAT ARE WE LOOKING FOR?

Essential: 

  • Be methodical with the ability to organise own workload, assess priorities effectively and work to daily deadlines.
  • Be able to maintain accurate, up-to-date records. 
  • Be able to demonstrate strong all-round administrative skills, including the ability to evaluate and contribute to the continual improvement of systems.
  • Strong ICT skills including proficiency in the full suite of Microsoft Office and ability to learn new specialist software as required. 
  • Be able to demonstrate a high degree of initiative, to solve problems and work proactively.
  • Excellent interpersonal skills with the ability to communicate confidently, intelligently and effectively both verbally and in writing at different levels with a range of stakeholders.
  • Enthusiastic, positive attitude. 
  • Ability to work effectively and supportively as a member of the School’s wider administration team, carrying out any other duties that may reasonably be required in the light of the main purpose and focus of the role.
  • Ability to maintain strict confidentiality of information received and processed as part of the role.
  • Genuine and demonstrable interest in working in education; ability to be a role model to young people. 

Desirable:

  • A knowledge of the SIMS database (or similar) is not essential but would be an advantage.
  • Experience of working in a School / education administration.

The St Marylebone CE School is an all-girls secondary with co-educational sixth form in Westminster, central London. It is affiliated with the Church of England and designated a National Teaching School. Since 2011, St Marylebone has had academy status.

The St Marylebone CE School welcomes applications from people of all backgrounds, races, cultures, faiths and genders.   The School actively promotes diversity and inclusion across its community and our students come from a wide range of backgrounds: 40% of our students speak English as an additional language; 59% of our students come from backgrounds other than white British.

The secondary school is located next to St Marylebone Parish Church and is a short walk from Regent’s Park. The sixth-form facilities are based in nearby Blandford Street. St Marylebone was founded in 1791 and it carries the motto "An opportunity to excel". There are currently around 1,100 students, 300 of whom are in the sixth form.
