Job overview

We are looking for a receptionist/administrator to be the first point of contact for the Harris Leadership College Central office team to help coordinate the central leadership development, NPQ programmes and leadership apprenticeships offer.

The ideal candidate must be confident in interacting with a broad range of individuals from within the Harris Federation and beyond. The position requires a highly organised, well presented individual with good communication skills. The individual will undertake a range of clerical, administrative and general tasks, providing comprehensive support whilst always maintaining professionalism and confidentiality.

This role is based at the Harris Federation's new site in Bromley. The post holder might occasionally attend meetings in our central office located at East Croydon.

This position is offered on a fixed-term contract to cover maternity leave.

About Us

The Harris Federation has over 20 years' experience running successful academies and has an exceptional track record for transforming failing schools into outstanding Academies. We currently have 52 academies across London and Thurrock.

Teaching School Hubs are part of the government's drive to give schools and academies more autonomy to lead improvements in education. The Harris Leadership College partners with two designated Teaching School Hubs with a central office team overseeing the delivery of a range of training and development opportunities offered to leaders and teaching staff across the Harris Federation, and Schools and Academies across London.

Main Areas of Responsibility

Your responsibilities will include:

  • First point of contact for the central office Leadership College team, dealing with telephone calls and inbox queries.
  • Maintaining accurate databases and evaluation records.
  • Liaising with Teaching School Hub colleagues at Chafford Hundred and Crystal Palace Academies to share information.
  • Preparing information to respond to queries from stakeholders and suppliers including DfE and ESFA.
  • Maintaining the website ensuring that content is current, accurate and well presented. Images are changed regularly and out of date information is removed promptly.
  • Organising team diary and central calendar to be shared with colleagues ensuring that the calendar is kept up to date and event clashes are avoided.
  • Leading the administration and organisation for centrally run CPD, liaising with Academies to book training rooms, catering, and refreshments.
  • Timely communications with participants undertaking training, confirming training times, venues and homework expectations ahead of training sessions.
  • Supporting financial systems and processes, tracking trainee details, recording programme costs and sending information to finance so that invoices can be generated. Sharing invoices with schools and tracking payments.
  • Producing clear and comprehensive communications to promote training opportunities e.g The Harris Highlights e-newsletter.
  • Creating materials for events, documents, tasks sheets including printing / photocopying.
  • Ability to accurately provide regular updates on Leadership College activity.
  • Organise meetings / schedules, take notes and circulate meeting information.
  • Follow up on actions from participants / events.
  • Supporting the implementation of Leadership College process and procedures.
  • Maintain responsibility for an efficient filing system both electronically and manually, this may include audio and document preparation.
  • Proof reading and collate information for the production of marketing materials.

Qualifications & Experience

The successful candidate will have:

  • General keyboarding skills
  • A working knowledge of PowerPoint, Excel, Word and Outlook
  • A high level of attention to detail
  • Good interpersonal skills evidenced
