Role:

We are searching for a School Administrator to provide outstanding administrative support, to maintaining the high standards and ensure the smooth running of the Collegiate.

This job description is written at a specific time and is subject to change as the demands of the Collegiate and the role develops. The role requires flexibility and adaptability and the employees of the Collegiate need to be aware that they may be asked to perform tasks and be given responsibilities not detailed in this job description. 


Key Responsibilities include (but are not limited to):

  • Manage appointments/diary schedules and associated secretarial duties, which will include typing of a confidential nature.
  • Communication and Record keeping; receive and relay promptly any messages for the School Leadership Team, dealing as appropriate with routine enquiries.
  • Assist with the production of school brochures and any other relevant information.
  • Liaising with Head of Years to organise a response to be sent in a timely manner, chasing responses where needed.
  • Creating and maintaining spreadsheets of student information and assisting with the management of student data
  • Monitor and authorise calendar entries ensuring educational visits coincide with entries made on EVOLVE
  • Create daily bulletins and ensure bulletins correspond to calendar entries making corrrections as required.
  • Keep records of all communication with parents
  • Manage the parent portal – ensuring that information is appropriate and up to date
  • Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, reporting all concerts to an appropriate person.

 

The Appointed Candidate will have:

  • Grade C or above in Maths and English GCSE (or equivalent)
  • Degree (Desirable)
  • Relevant experience of working in a similar role
  • Experience of data management
  • Experience of working in a school environment (Desirable)
  • Excellent telephone manner
  • Proficiency in Microsoft Office
  • Ability to write professional emails
  • Ability to carry out instructions safely and carefully
  • Ability to communicate effectively with parents, other staff and pupils
  • Knowledge of Child Protection/Safeguarding (Desirable)
