An exciting opportunity has arisen for us to recruit a School Office Assistant for our Outstanding school, working 2.30-6 p.m. daily (5.30 p.m. Fridays). 

Our Office assistant will have a key role to play and opportunities for professional progression in our new-build school on Moat Road, Oldbury, B68 from September 2016 as we continue to expand as a 2 form entry school and extend our wraparound provision.

We are seeking a positive, forward thinking, innovative person who will be the face of our school and so model, be supportive of and uphold the Catholic ethos which underpins all aspects of school life. They will enable us to ensure the office is covered from 8 a.m.- 6 p.m. daily so as to provide a personal service to parents and users of our site and ensure health and safety at all times of the day.

The successful candidate will be an enthusiastic colleague with a warm and welcoming personality to greet visitors to our school and liaise with others who work on and use our site. They will be able to multi task and deal calmly with the many tasks of a busy office.

They will have responsibility for:

  • Collecting, processing and banking money
  • Lettings including marketing the availability of our facilities
  • Liaising with providers of wraparound care and after school clubs including quality assurance,  supporting with first aid and safeguarding incidents
  • Ensuring the safe release and collection of pupils after clubs
  • Marketing clubs and dealing with the associated records and finance
  • Data entry
  • Supporting with risk assessments re wraparound
  • Supporting with the administration associated with enrichment activities e.g. trips
  • Dealing with enquiries at the end of the school day
  • Hospitality for meetings including setting up/clearing away

Our new Office Assistant will have experience of:

  • Financial procedures
  • Using a range of ICT programmes including Word and Excel
  • Using an information management system
  • Working under pressure to tight deadlines
  • Data entry
  • Dealing with enquiries from adults and children
  • Working as part of a team

Our new Office Assistant will have:

  • The personal skills to maintain a sense of humour under pressure and to be the public face of the school, modelling the Catholic ethos, providing outstanding customer relationships and  maintaining positive relationships with staff, pupils, parents and visitors
  • High standards of written and spoken English with good communication skills
  • GCSE Maths and English Grade C+ or able to demonstrate a similar level of competency
  • The passion for making a difference and demonstrate high levels of motivation
  • Evidence of being an exemplary role model within the work place
  • Knowledge of SIMS/FMS or similar financial and information packages
  • A growth mindset and can-do approach
  • Ideas and a hands –on approach to working as a team under the direction of the Office Manager so as to establish a professional working environment and effective office team on our new site

About St. Philip's Catholic Primary School

St Philip’s Catholic Primary School is a non-selective, co-educational, academy school for children aged 3-11, situated in Smethwick in the West Midlands. Although it has a strong Catholic ethos, it is a multi-cultural school with 252 children on its roll, including the nursery. 

St Philip’s Catholic Primary School is a voluntary-aided school administered by an academy committee, consisting of parents, school staff and people appointed from the parish community.

The school was judged as “good” in its 2013 Ofsted inspection.

“Good progress continues throughout the school and pupils’ attainment by the time they leave the school is above average in both English and mathematics. School data indicate that current pupils’ attainment is on course to rise still further in this year's national tests. The proportion of pupils who make and exceed their expected progress now compares favourably with the national average, although this has not been consistently so over time.” 

“The quality of teaching is good over time and this is reflected in pupils’ consistently good progress in all year groups. It is also reflected in records of checks on teaching by school leaders and external advisors. The vast majority of teaching observed during the inspection was good. Some was outstanding.”
