Job overview

The School Office Manager is expected to take a keen interest in School life and to support the school staff team to ensure the smooth running of the school office and school. They are the key point of contact for the School and are required to foster good relationships, both internally and externally.


DUTIES AND RESPONSIBILITIES

• Responsible for driving exceptional customer service

• Work in partnership with the senior management team and liaising with contractors

• Coordinate and oversee all aspects of the day to day running of the office

• Line managing office staff team consisting of 3 administrators and 1 receptionist

• Running weekly office meetings for the smooth running of the office

• Ensuring the school office has appropriate cover at all times

• Reviewing current office systems and identifying improvements to achieve best practice

• Updating the weekly staff meeting agenda, note taking and emailing to all teachers

• Filing confidential documents for the Principal e.g. SEN documents, 11+ documents

• Create the weekly assembly agenda and prepare items for assembly, e.g. award certificates

• Updating staff anniversary gifts spreadsheet, organising gifts and creating certificates

• Updating Project List, e.g. termly list of tasks for upcoming school events

• Responsible for unlocking the school during Holiday Fun Club (school holidays)

• Setting up Open Mornings for prospective parents, welcoming them to the school,

organising refreshments, ensure IT required for the welcome meeting is in place.

• Assisting with the recruitment of new members of the team as required (interviews and trials)

• Ensuring full compliance with School policies and procedures and ISI regulations


Additional duties include:

Assisting the Principal or senior school leaders with tasks whenever requested.


Working hours:

Monday to Friday, 40 hours a week – the school is open from 8am to 6pm, 48 weeks of the year and staff work within a shift system. This is a permanent position.

Person specification:

• An experienced Office Manager with a minimum of three years’ experience.

• Proven organisational skills with an eye for detail.

• Excellent communication and interpersonal skills.

• Ability to delegate and monitor effectively.

• Ability to prioritise, work methodically and remain calm under pressure.

• Think creatively and imaginatively to solve problems and identify opportunities.

• Flexible, adaptable and open to new ideas.

• Approachable and sensitive, adapt easily to a diverse and changing environment.

• Self-sufficient and comfortable working alone/unsupervised. Work under their own initiative.

• Strong IT skills using Microsoft Office package.

• Willing to consult and seek advice when appropriate and learn from experience.

• Excellent and professional personal presentation.

• A good sense of humour. 

You will be educated to A-Level, with GCSE passes in English and Maths (essential) or hold a degree (highly desirable).
