Hours: Monday to Friday, 8.30am to 5.30pm (40 hours per week)

Salary: £23,296 (FTE - £25,350)

The role has a diverse range of responsibilities including management and delivery of general administration support. You will need strong attention to detail and have the ability to prioritise when coordinating the requirements of the Senior School Staff and SLT to whom you answer. Flexibility and adaptability are key personal attributes required to fulfil the role. You must be able to “think outside the box”, be self-assured and use your initiative as every day is different and not all situations can be anticipated.

The following key accountability areas are a given requirement. The list is non-exhaustive and should not act to constrain the jobholder from working within a wider brief, if necessary, in order to achieve the requirements of the job role. 

Principal duties and responsibilities:

• Through working closely with SLT, access and take responsibility for all administrative tasks delegating to the administration team as and when required.

• Lead the team by prioritising and managing the workload.

• Manage and co-ordinate diaries for all Senior School Deputy Heads.

• Be responsible for confidential, administration and clerical duties relating to all aspects of Deputy Head’s work, including management of diary, correspondence and other administrative duties.

• Ensure Senior School Deputy Heads are briefed for all meetings with relevant correspondence, documents/presentations and their absences; refer matters to relevant member of Senior Leadership team for action.

• Organise and attend meetings to include HoD’s, Staff Briefing, Whole school INSET and any other Senior School Staff meetings as required.

• Taking and typing up of minutes and distributing to relevant bodies within the School.

• Processing of correspondence addressed to the Deputy Heads, including all highly confidential correspondence and in consultation with them, take appropriate action.

• Devise and maintain office systems, including data management and filing.

• Be responsible for the entire Deputy Heads electronic and paper based filing systems.

• Receive and appropriately deal with all incoming emails.

• Be involved in the organisation of departmental reviews.

• Be involved in the proof reading of reports when necessary.

• Provide first point of contact for teaching & learning, support and other personnel as well, as students, parents/carers and other external parties screening phone calls, enquiries and requests, and handling them when appropriate.

Academic Staff

• Manage and co-ordinate cover for teaching and learning staff as required;

• Ensure duty boards are updated daily by administration team member.

• Distribute cover detail and work schedule to staff;

• Co-ordinate and update duty rotas for staff, to include detention rotas and circulating new rotas to staff;

• Co-ordinate the preparation of New Starter packs in readiness for new Staff INSET day;

• Prepare and update the mini Staff Handbook and circulate accordingly;

• Prepare and update the child protection booklet for the inclusion in the new starter packs.

Calendar / Events Management

• Collate and prepare Termly calendar event information and set for print;

• Liaise with Marketing and Admissions Manager on matters relating to hospitality for meetings and events/functions throughout the year.

• Assist with the planning and delivery of School events to include Parents evenings, Scholarship evenings, UCAS information evenings, Civic service, School Prize Giving, Headstart etc.

• Co-ordinate Governor visits.

• Co-ordinate Taster days.

• Act as point of contact for the new Deputy Head Operations role, and provide administration support as necessary.

General Functions

• To undertake such other duties as may reasonably be required commensurate with the grade of the post and the initial or present place of work or at any of the School’s establishments.

• To undergo any training & development to the satisfactory performance of the job required.

• To be committed to playing a full part as a member of a team.

The duties of the post could vary from time to time as a result of new legislation, changes in technology or policy changes in which case appropriate training may be given to enable the post holder to undertake this new/varied work.

Wellingborough School is an independent, co-ed, selective, Christian-based though multi-faith all-through school, situated in Wellingborough, Northamptonshire with a broad geographical catchment area. Currently it provides 850 places for nursery, primary, secondary and sixth-form students aged 3-18.

The school was originally a Tudor Grammar School, founded as an all-boys boarding school in 1595. Originally situated in the centre of town, it completed the move to its 45-acre current location in 1881. Girls were admitted for the first time in 1970.

From its primary school to its sixth-form college, the educational aims are the same: to enrich cultural experiences, develop good behaviour, promote a close partnership between school and home, achieve academically and help students make the most of all the educational opportunities that the school provides.

Its size helps promote a communal family feel, as does the ages it sees children through, many children staying for the whole 15 years of education. Although no longer a boarding school, it sees itself as having the atmosphere of one.

In March 2022, Wellingborough School was inspected by the Independent Schools Inspectorate (ISI), the body approved by the Government for the inspection of independent schools. Inspections take place roughly every six years, and allow an opportunity for the school to be scrutinised in considerable depth. 

As most of you will not be au fait with the structure, scale or significance of an Inspection, it is worth me saying that it is a big deal! As well as surveys of students, staff and parents, the Inspectors sifted through our policies and examined our risk assessments before launching into a whole host of lesson and activity observations, student and staff interviews and work scrutinies, seeking to triangulate every bit of evidence they found before drawing their conclusions– conclusions that will form part of how the outside world views us until the next time a team turns up.
