 Job Purpose:

  • Provides administrative support to Director for Students and Operations Manager with daily operations
  • liaise with the Operations team members regarding their daily activities, ensuring that all Reception department policies and procedures are followed and a culture of customer service excellence is embedded throughout the team
  • Ensure clear communication messages are delivered to staff and students
  • As a member of the Operations team and in context of the above additional duties, to take a proportionate share in the College’s general academic administration, providing information and support to students, staff, awarding bodies, SLC, UKVI and other stakeholders.   For these purposes, specific student cohorts and Academic Support will be allocated to the postholder(s), who will also be expected to provide cover to other colleagues from time to time and generally share in the workload of the team.  

Principal duties:

  • Serve as the primary administrative support person to the curriculum Programme Leaders by performing a wide variety of confidential clerical and administrative functions on all official matters.
  • Key liaison manager between the Operations manager and the academic administrative and admissions staff.
  • Assist Operations Manager to maintain Health & Safety standards and deputise when Operations Manager is absent.
  • Line manager for all the operations staff involved in administration activities. 
  • Ensure that a holistic approach is being implemented in regards to customer service and student experience standards.
  • Ensure Customer Service Standards are reviewed and met.
  • To assist the Director for Students and Operations Manager with training and development of team members, departmental induction, weekly/monthly departmental meetings, planning, assigning and directing work.

Cohort administration duties

  • Responsible for the allocated cohort and ensuring to see that all information of learners entered into UNIT E is accurate starting from the registration details of the learner to the completion of the course which include grades, progression, suspension, attendance etc.
  • Provide feedback to the students assessed work and ensuring that the data is entered on UNIT E and in case of any discrepancies ensure that the data is corrected for the responsible allocated cohort.  
  • Distribute appropriate internal and external mails to students and teachers as required through college database.
  • Check the regular attendance of the students and regularly warn the students in case of irregularity for the allocated cohort by the Operations Manager.
  • Disciplinary measures for irregular students, warnings and any other communications if needed for the allocated cohort.
  • Review the attendance report for the responsible cohorts on the weekly basis, follow up with students who have low attendance.

Other Admin duties 

  • Provide information regarding the programme to students and faculty members
  • Adhere to the academic plans, term plans, holidays, coordinate and communicate.
  • Collect and update information from the students connected with course requirements
  • Ensure special arrangements for disabled students have been made and communicated to relevant staff members.
  • Inform students via college email (database) in changes of timetables and upcoming academic events (additional classes, seminars etc.)
  • When needed assist to input assessment information into database and to produce reports and charts as required.
  • Act if needed as secretary at various meetings and responsible for the timely distribution of agendas, papers and the minutes.
  • Oversee that the required resources are made available to all the academic staff and the students before the start of the classes.
  • Support Programme Leaders with course timetabling, as appropriate

Additional duties include

  • Ensure that student records are maintained with confidentiality
  • Adhere to the disciplinary policy and student charter.
  • Comply with all Health and Safety policy and legislation in the performance of the duties of the post.
  • Maintain data protection and confidentiality at all times.
  • Any other requests from College Principal FHE, Director for Students and the Operations Manager regarding college activities and assisting him/her with fulfilment of statutory duties.

Our History

Regent Group was established in 2000 by Selva Pankaj, Tharshiny Pankaj and Senior Selvanayagam.

Regent Independent College was the very first division within Regent Group established that same year offering full-time courses for Year 10, Year 11, AS and A2 as well as intensive one year courses for GCSE and A-Level.

As it established both its place in the local community and a favourable reputation, it grew in student numbers and an interest in part-time provision evolved with enquiring parents.

So it was that in 2000 Regent Learning Centre was established in Harrow, offering programmes of supplementary tuition for students Year 7 and above in English and Maths. Demand led to Science and ICT being added to the suite of subjects on offer. Later, primary tuition for students aged 4 upwards in literacy and numeracy was introduced along with programmes of preparation for entrance exams for independent and grammar schools. Since then, further centres have been opened in Edgware and Southall.

In 2004, Regent expanded into childcare with the opening of Regent Nursery. It currently offers childcare for children up to 5 years, on both a full-time and part-time basis.

By 2009, Regent Independent College was thriving and on the basis of its success, Regent Group made a second addition to its sixth form provision and opened up Burlington College.

In 2010 based on demand for alternative courses, Regent diversified into the provision of Higher National Diploma courses and thus Regent College Higher Education was born and has since blossomed.

With a view to a diversification of the courses that it could offer to adult learners, after Regent was approved for entry on the Register of Training Organisations in 2014, it established its Regent Skills Training division, which is currently working with the well-known and major training provider 5E to offer a range of courses. In the same year, Wembley English Academy was launched which specialises in English courses.

iRegent, a blended learning based tuition service for children of both primary and secondary ages was launched in Regent Learning Centre Harrow in 2015.

Regent Leadership is Regent Group’s newest venture offering executive level education, supporting learning through coaching and providing highly personalised programmes to meet the needs and aspirations of senior level clients.
