Job overview

We are looking for a Sixth Form Administrator to work under the instruction/guidance of senior staff and provide general administrative and financial support to the school.

Main Areas of Responsibility

Organisation

  • Support the Head and Assistant Head of Sixth Form and Heads of Year 12 and 13 in communications with students, parents, H Fed, and agencies as required.
  • Support the supervision of the Sixth Form Study Centre.
  • Apply and follow up the Sixth Form code of conduct around the Academy.
  • Ensure resisters are accurate and use Bromcom to chase, track and evaluate attendance and punctuality data, liaising with tutors and parents to improve these through the attendance monitoring process.
  • Receiving visitors, speakers and prospective students and showing visitors around.
  • Provide academic mentoring for a target group of pupils.
  • Contribute to the Higher Education entry process by setting up, managing and co-ordinating the UCAS Reference tracker and application process.
  • Support the preparations for new student admissions and ensure a fully coordinated process is operated.
  • Support the Head of Sixth 6th in the organisation of tutoring and interventions.

Administration

  • Provide general clerical/admin support e.g., photocopying, filing, faxing, e-mailing, completing standard forms, responding to routine correspondence
  • Maintain manual and computerised records/management information systems
  • Produce lists/information/data as required, e.g., pupils’ data
  • Undertake typing, word processing and other IT based tasks
  • Sort and distribute mail
  • Ensure reprographics requests are fulfilled on time.
  • Undertake general administrative procedures
  • Maintain and collate pupil reports

Resources

  • Operate relevant equipment/ ICT packages (e.g., word, excel, databases, spreadsheets, internet)
  • Maintain stock and supplies, cataloguing and distributing as required
  • Assist in ordering uniform
  • Provide general advice and guidance to staff, pupils, and others
  • Undertake general financial administration, e.g., processing orders

Qualifications & Experience

  • NVQ2 or equivalent qualification or experience in relevant discipline
  • Good numeracy/literacy skills
  • Minimum of two years’ school office experience
  • General clerical/administrative/financial work
  • Knowledge of safeguarding procedures for young people
  • Experience of Reception duties including dealing with visitors to the Academy

Harris Academy St John’s Wood, formerly Quintin Kynaston Academy, is a large 11-18 secondary school with a thriving sixth form located in St John's Wood. The school joins the Harris Federation as a sponsored academy in September 2017.
