Surbiton High School seeks an enthusiastic and inspirational PA and Administrative Assistant  with a 'can do' attitude, to  provide administrative support to  the Sixth Form Management Team and the reception within the Sixth Form Centre.


Key Responsibilities:

  • Providing administrative support to the Director of Sixth Form, Assistant Director of Sixth Form and Head of Year 12/13 to enable them to fulfil their aims and work effectively
  • Providing all necessary briefing papers, documents, reports and presentations for the Director of Sixth Form, Assistant Director of Sixth Form and Head of Year 12/13 so that they are briefed for meetings, assemblies etc.
  • Minute taking at meetings as required. Adding the notes from pupil meetings to the School’s MIS system.
  • Responsible for requesting agenda items for Sixth Form Tutor team meetings, minute taking at these meetings and circulating the minutes to the Sixth Form tutor teams
  • Making room bookings and catering arrangements for meetings, Parents’ Evenings etc.
  • Assisting in the organisation of outside speakers
  • Assisting with Open Events and any other such functions which take place at the Sixth Form Centre
  • Supporting the Sixth Form Team and UCAS Co-Ordinator with the UCAS (university application system) process i.e. checking UCAS forms, proofreading personal statements etc. (Training will be available)
  • Be present on GCSE and A-level Results Days to support the Sixth Form Team
  • Collating data and information i.e. destination of leavers etc.
  • Answering the telephone promptly and professionally and fielding telephone calls as appropriate
  • Acting as front of house for all visitors to the Surbiton Sixth Form Centre
  • Ensuring visitors are signed in and registered at Reception in accordance with Surbiton High School’s security measures
  • Liaising with the main reception desk to ensure both sites are working collaboratively
  • Logging and distributing personal items to students as and when they require (i.e. misplaced fobs)

The successful candidate will be likely to fit the following profile: 

  • Experience of scheduling busy diaries and maintaining confidential systems
  • Highly developed planning and organising skills as well as a keen eye for detail
  • Curious and willing to learning new skills
  • Able to establish and maintain effective working relationships with colleagues, parents and pupils
  • Assertive with strong communication skills both verbal and written; ability to liaise effectively with external contacts at all levels
  • Self-motivated with exemplary follow-up skills, able to work flexibly with minimum supervision using own initiative
  • Demonstrated ability to work under pressure and to manage a high degree of ambiguity, completing all assignments on or ahead of scheduled deadlines
  • Enthusiastic team player, with strong interpersonal and problem-solving skills
  • Accustomed to working collaboratively within a busy office environment
  • Fast and accurate typing, speed writing, with the ability to draft letters and documents together with expert formatting
  • Ability to juggle multiple priorities, and to prioritise tasks and work systematically to achieve goals
  • Highly flexible and able to multi-task
  • IT literate, with a good working knowledge of Microsoft Office software, including: Word, Excel, Outlook and PowerPoint
  • Discretion and confidentiality
  • Ambitious and aspirational for oneself and for the School
  • Committed to professional development and show a willingness to undertake appropriate training for this role
