General Duties and Responsibilities: 

  • Act as the first point of contact for students providing a courteous, professional, calm and friendly service. 
  • Greet all incoming students, parent/carers and visitors arriving at student reception. 
  • Meet and greet all new admission students to Leeds City Academy. 
  • Deal with student enquiries efficiently and in a pleasant and courteous manner. 
  • Undertake student reception duties, answering routine telephone and face to face enquiries. 
  • Manage the signing in and signing out of students, visitors and parent/carers in line with the safeguarding protocols & liaising with main reception as required to ensure protocols are followed. 
  • Escort students to isolation as needed on arrival to school. 
  • Administer first aid; act as first responder; look after sick and injured pupils, liaise with staff and parents. 
  • Maintain appropriate records of first aid/accident incidents as required by the academy policy. 
  • Conduct risk assessments for pupils returning to school with illness or injury e.g. crutches, slings, plaster. 
  • Following current protocols administer medication to students who have a care plan in place or require medication during the school day. 
  • Issue toilet passes as necessary and maintain a database of passes provided. 
  • Maintain the room booking system for the pastoral meeting room. 
  • Maintain the central student locker database and support students with enquiries relating to this. 
  • Provide routine clerical support e.g. reprographics, filing, scanning, emailing, completing routine forms, word-processing and other IT based tasks as directed by the Inclusion Manager. 
  • Support the Pastoral Team at the start of the school day in making telephone calls to parent/carers. 
  • Maintain late desk in the event of Attendance Officer absence until cover is arranged. 
  • Make first day absence calls in the event of Attendance Officer absence. 
  • Be responsible for the effective administration of Free School Meal procedures liaising with Benefits Agency, parent/carers, academy chef and ICT team as required 
  • Develop and maintain manual and computerised records/management information systems for Free School Meals, SIMS and Behaviour Watch (other systems may also be introduced) · Manage recycled and borrowed uniform.
  • Produce AM & PM fire registers in the event of Attendance Officer absence. 
  • Manage the detention system and be available to escort students to detention at the end of the day. 
  • Use Behaviour Watch to record incidents and record contact with students and parent/carers. 
  • Work with the Inclusion Manager to organise and coordinate all school immunisations 
  • Support on-call rota.
