Parent’s Evening can be a really stressful time for teachers, especially when you have 25+ pupils to talk about. Having notes always makes me feel so much better and more prepared for parents evening as well as looking professional for the parents coming into your classroom (or seeing your digitally!)

A form I created last year for Parents Evening. Each child had one and I wrote in levels and any other notes I wanted to mention. It meant I had something in front of me for each child and could write anything down the parents wanted me to follow up. Printed 2 per sheet so the form was A5

Parents Evening - Student Grade Visualisation
This spreadsheet has two worksheets - Data and Display. The Data worksheet is where you can add students first and last names - in adherence with GDPR these names are edited with a formula to display the first name and initial only - as well as the effort, behaviour and homework scores for each student. The scores are in the 1-4 format where 1 is the highest grade. In addition the students current and target grade are entered to allow the spreadsheet to calculate how much progress they have made towards their target.
The Display spreadsheet has a drop-down box with all of the students names. Here you can select a student to view the data as well as a graphical display of their progress.
This has been a valuable resource during parents evenings and for 1:1 discussions with students.
This is a document I made for our more inexperienced staff who had some anxieties around parents evenings. It isn’t overly long to read and digest (it’s two sides of A4) so it didn’t cognitively overload them but they really appreciated it.
I emphasised that it was intended as a reference and a guide and they obviously weren’t meant to memorise all the responses (and also I explained how I couldn’t anticipate every scenario!) but it certainly helped ease their anxieties and make sure they were confident in their interactions (as well as communicating in the right professional tone etc.)
I got some great feedback from staff on it so I thought I’d share it and I hope it saves you some time in terms of producing something that staff can really use. I also found it a useful starting point for more experienced members of staff who perhaps needed a little reminder of the importance of interacting with parents friendly but in a professional manner, no matter how parents might present!
It isn’t exhaustive but it was really useful in terms of conveying to our staff the tone and manner we wanted them to communicate in, so I hope it’s just as useful for you too!
