Role Purpose 

The post holder will provide routine reception, general clerical and administrative support to the organisation .

Contact with students, parents, teachers, governors, visitors and a wide range of other organisations will be an everyday part of the role and will require flexibility and strong interpersonal skills. The post holder is required to act in a professional manner at all times demonstrating confidentiality and discretion. Under the direction/instruction of the Senior Administrator/Business Manager: provide routine reception, general clerical and administrative support to the academy. Organisation Undertake reception duties, answering routine telephone calls and face to face enquiries and signing-in visitors. Maintain a discreet and professional relationship with parents and visitors acting accordingly with any sensitive material and information. Administration Provide routine clerical support eg photocopying, filing, emailing, complete routine forms and to produce high quality resources for teaching staff. Co-ordinate bookings of meeting rooms. Maintain  manual  and  computerised  records/management  information  systems  eg  FSM  and  student information. Support  other  administrative  staff,  demonstrating  flexibility  to  ensure  the  Academy  administrative requirements are met. Perform any other duties as circumstances arise, under the reasonable direction of senior staff. Resources To operate office equipment eg printers, photocopiers and computers. To arrange orderly and secure storage of stationery supplies. To communicate with parents via text messages and email (eg. Monthly newsletter and letters).  To produce and issue letters as and when required.  To arrange travel and accommodation bookings via our preferred operator. To arrange taxis for visitors, staff and students when required. 

To receive and distribute all incoming post and to arrange all outgoing post. To contribute to the overall ethos/work/aims of the organisation. To appreciate and support the role of other professionals. To attend and participate in relevant meetings as required. To participate in training and other learning activities and performance development as required. The post holder will be accountable for carrying out all duties and responsibilities with due regard to Child Protection and  Safeguarding  Policy, Equal  Opportunities  Policy, Health and Safety Policy and Data Protection guidelines. To respond in a professional manner to all callers and visitors, following safeguarding procedures, arranging appointments and providing hospitality as necessary. Send text messages or make phone calls on first day of absence. 


First Aid Assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents/ staff etc. Support the school’s values and ethos by contributing to the development and implementation of policies practices and procedures including telephone protocols.  Help create a strong school community, characterised by consistent, orderly behaviour and caring, respectful relationships. Maintain confidentiality and a professional relationship with the parents in all matters  Help develop a school culture and ethos that is utterly committed to achievement. To be active in issues of student welfare and support.  Support and work in collaboration with colleagues providing support as required.  This document is considered to provide an outline of the areas that this role involves.
