The Lycée Français Charles de Gaulle recruits an: experienced Admin Assistant for the Secretariat of its British Section/Exams Office.   

Position to be filled: Part-time permanent position starting on 24th August 2020 at the Lycée Français Charles de Gaulle, South Kensington, London.
Workhours: 20 hours/week over 40 weeks. Timetable to be established by the Head of the British Section.  

The Experienced Administrative Assistant will report to the Head of the British Section and work under the day-to-day supervision of the Examinations Officer.

Job Description:

1. Secretarial duties include:

- Be a first point of contact for daily calls and emails to the British section.

- Manage daily secretarial duties (overtime, training, outings, students' references and school certificates, copies of Access Arrangement evidence, minutes of meetings, etc.)

- Manage key messages via our MIS (Pronote) and various teachers' requests for room bookings, trips messages, etc, liaising with the French section counterparts.

- Coordinate the Head of the British Section diary with all meeting requests from various parties.

- Manage and update yearly the subject brochures for the British Section GCSEs and A Levels.

- Support with yearly process of students options' selection for GCSEs and A Levels.

- Manages the administration of the students' Work Experience process.

2.  Assisting the Examinations Officer with:

- Sending off scripts to Exam boards

- Managing Results login access for students

- Collection/delivery of Examination certificates to current and old students

- Mock/End of Year Exams/National Exams with occasional invigilation duties

- New admission process for Year 10 and Year 12 students

- Results' Day and organise priority reviews of marking for A Levels

Profile:

- Fluent in English with a good understanding of French, you have very good interpersonal skills and excellent spoken and written communication skills

- Excellent computer skills (proficient in Excel, Word and mail merge and Google tools) and ability to learn new MIS software quickly (SIMS Exam system, Pronote)

- You are rigorous with an excellent eye for details and have strong methodology/organisational skills. Reliable and pro-active, you are capable of working efficiently, independently and as part of a team, with a great sense of customer service

- Patient and flexible, you can work well under pressure and to very tight deadlines with the ability to adapt to emergency situations and temporary workloads (exam season)

- Similar experience as Administrator/Secretary in a school environment would be an advantage.
