About the Role

St Francis Xavier College is seeking to recruit an Administration Officer (Student Services). St Francis Xavier College is committed to excellence and innovation in teaching and learning and to preparing our students for 21st Century work, life, and leisure. Our classrooms are places of support and nurture where we are teaching our students to think critically and creatively, and to collaborate and communicate with skill and confidence. This position will suit an Administration Officer (Student Services) who has the ability and commitment to add to the dynamism of our vision for 21st Century education and the qualifications and commitment to deliver the role.  

The role of Administration Officer is a key role at the College.  This position is located in Student Services. As part of a dynamic administration team, they perform a wide range of support for the College.

 This position requires working in a team environment to help ensure student attendance records are kept accurately and up to date; and to assist in ensuring the safety and welfare of students by providing First Aid, and ensuring the proper procedures are used to communicate with Staff and Parents on relevant student matters, using student management system known as Compass.

This appointment is temporary in nature as it replaces a teacher who is on leave or secondment. 

Key Responsibilities

Some responsibilities and duties of the position include but not limited to:

  • Maintenance of College student attendance records
  • Communication with parents regarding student absences
  • Responsibility to provide first aid to students (and staff), supervision of sick bay, and maintain all stocks of first aid supplies
  • Communication with Pastoral Care Teachers and Coordinators regarding student attendance and welfare
  • Respond to student enquires in a polite and friendly manner
  • Facilitation of messages to students throughout the day
  • Collate medical information for whole year group events (Y7 and Y9 Camp; Y11 Conference, Y12 Retreat)
  • Maintain filing of all relevant notes / permission slips on student file. Student Services are the second point for answering telephone calls.  All calls must be attending to promptly
  • Support other staff in times of demand and be prepared to move to other areas as directed by executive staff
  • Performance of other duties as directed by the Principal, Business Manager or Principal’s EA
  • Staff Development
  • Become familiar with, and keep up to date with the latest developments in the Occupational Health and Safety Act requirements
  • Undertake First Aid and CPR training and keep qualifications up to date.

Essential Criteria

Successful applicants will demonstrate the following:

  • Relevant qualifications and/or experience
  • The ability to maintain strict confidentiality and to exercise discretion and sound judgement
  • A sound understanding of privacy and confidentiality, ensuring the handling of personal information, in line with student protection legislation
  • The capability to work positively under pressure, with strong organisational, prioritisation and problem-solving skills
  • The ability to work both independently as well as collaboratively, within a busy environment
  • The ability to use a level of technology appropriate to the position and/or a willingness to learn other position specific software and highly developed attention to detail
