The CPA is Ofsted rated Outstanding alternative provision free school providing a bespoke educational experience for post and pre excluded pupils from the ContinU Trust Schools and beyond. We are seeking a Administrative Assistant to join our pastoral team.
Duties
Reception :-
- To maintain a professional and welcoming reception area for all parents, visitors, staff and pupils and ensure it is stocked with all necessary documentation.
- To ensure visitors sign in, receive lanyards and undertake identification checks as necessary.
- Answer the phone in a timely polite manner.
- Respond to emails in a timely manner and run the office@ email account.
- Operate Student Reception and ensure it is staffed at all times.
- First point of contact for pupil’s parents/carers in person and over the telephone.
- First point of call for students who require admin assistance.
- Greet students when they arrive late and ensure they sign in and signpost them to class.
- Have prime responsibility for updating TV screens with school information, timetables and activities.
- First port of call for staff, notifying Headteacher or Headteacher’s PA when they are required.
- Maintain confidentiality at all times.
Filing :-
- Regular maintenance and systematic organisation of office filing systems, retaining documents and correspondence and other records.
- Ensure all student filing is up to date.
- Maintain a school log of pupils who transfer to the CPA.
- Ensure there are sufficient referral packs available on reception.
Orders/Deliveries :-
- To check deliveries when they arrive and distribute to the relevant department/classroom.
- Monitor stock and the general maintenance of the stock cupboard and first aid cupboard.
School Meals :-
- Prepare weekly figures for the kitchen for hot meals and packed lunches and liaise with appropriate staff.
- Ensure the weekly menu is on the TV with school information.
- Get a full list of the weekly requirements for the kitchen orders.
- Liaise with parents concerning allergies affecting school meals and advising kitchen and appropriate staff ensuring data is recorded accurately on SIMs.
Transport :-
- Work with drivers on a daily basis to arrange pick ups/drop offs of the students.
- Give drivers weekly schedules regarding alternative provision.
- First port of call for parents/carers with regard to transport requirements.
SIMS :-
- Ensure student details are kept up to date, in particular contact details and medical information.
- Regularly produce a contact sheet for the office and the minibuses so contact with parents/carers is facilitated.
Other Office Duties :-
- Prioritise answering phones and dealing with visitors and students.
- General office duties including photocopying, scanning, safe and secure storage of supplies, word processing and letters and copying and distribution of material.
- Any other duties as required by the Headteacher and Headteacher’s PA.
Person Specification
Qualifications
- Good general education to GCSE level including English, Maths and IT – essential
- Experience of working with children – desirable
- Experience of working in a busy office environment – essential
- Experience of working with SIMS – desirable
